Job description

This on-site Executive Assistant role in Charlotte provides high-level administrative and office support to executive and senior leaders across multiple business units, including leaders who work both on-site and remotely. Serve as a key point of coordination and communication by building effective working relationships across departments, responding to inquiries, coordinating information flow, and helping ensure timely follow-through on business priorities and commitments. The ideal candidate is proactive, highly organized, detail-oriented, and service-minded, with the ability to anticipate needs, manage competing priorities, exercise sound judgment, and work independently. This position is well suited for someone who enjoys supporting leaders, coordinating details, solving problems, and ensuring that important tasks and commitments stay on track.

What You’ll Do

Provide proactive executive support by anticipating needs, managing competing priorities, following up on outstanding items, and helping leaders stay organized and focused on business priorities. Manage calendars proactively by monitoring for scheduling conflicts, double bookings, missed meetings, and competing priorities, and coordinating adjustments or rescheduling as needed. Coordinate business travel including flights, hotels, ground transportation, itineraries, and changes or cancellations, while ensuring arrangements align with preferences and business needs. Coordinate virtual and in-person meetings by scheduling sessions, preparing invitations, confirming video links and meeting details, coordinating rooms and other logistics, distributing materials, and helping ensure a seamless experience for on-site and remote participants. Support meetings and events by coordinating agendas, materials, catering, facilities, vendors, and other logistical details, as well as tracking follow-up items when appropriate. Support day-to-day office operations by coordinating office supplies, shared spaces, vendor needs, mail, front desk coverage, and other administrative requests. Support business processes including invoice processing, expense reporting, company-approved gifts, and other administrative requests. Handle confidential and sensitive information with discretion, exercising sound judgment when working with executive communications, business information, employee matters, and other sensitive materials. Assist with special projects and other administrative initiatives as assigned, adapting to changing priorities and business needs.
