Executive Assistant – Plombon Insurance

We are looking for a highly organized and efficient Executive Assistant to support our executive team in their day-to-day operations.

Job Overview

As an Executive Assistant at Plombon Insurance, you will play a pivotal role in supporting the executive team and ensuring the smooth and efficient operation of the company. You will be responsible for managing schedules, coordinating meetings, handling communications, and assisting with various administrative tasks to enable our executives to focus on their strategic responsibilities.

Key Responsibilities
  • Calendar Management: Effectively manage the executive team’s calendars, schedule appointments, meetings, and conference calls, and proactively coordinate any changes or conflicts.
  • Communication: Act as a primary point of contact for internal and external communication on behalf of the executives, including handling emails, phone calls, and inquiries.
  • Meeting Coordination: Organize, plan, and coordinate meetings, including preparing agendas, distributing materials, and ensuring meeting rooms and technology are set up and functioning.
  • Travel Arrangements: Make travel arrangements for the executive team, including booking flights, accommodations, and ground transportation, and preparing itineraries.
  • Document Management: Maintain and organize important documents, reports, and files, ensuring they are readily accessible to the executive team.
  • Administrative Support: Assist with various administrative tasks, including expense reports, document preparation, and data analysis as required.
  • Project Assistance: Provide support for special projects and initiatives as directed by the executive team.
  • Confidentiality: Handle sensitive and confidential information with discretion and professionalism.
Qualifications
  • Bachelor’s degree in Business Administration or a related field (preferred).
  • Proven experience as an executive assistant or in a similar role.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Strong organizational and time management skills.
