Job description

The Executive Assistant role at The Nanny Loft provides high-level administrative support directly to the Founder/President, playing a key role in ensuring the smooth operation of daily business activities. This is a part-time, paid position with a flexible schedule to be determined collaboratively between the candidate and supervisor upon hiring.

Responsibilities include a wide range of administrative tasks, such as coordinating inter-agency communications, maintaining employee and client profiles in our scheduling platform, assisting with recruitment and onboarding, and supporting special projects as assigned or initiated. This is a remote position with occasional opportunities for in-person collaboration as needed.

Manage calendar scheduling, email correspondence, and internal communications on behalf of the Founder/President.

Prepare reports, presentations, and other documents to support executive decision-making and strategic initiatives.

Coordinate logistics for meetings, interviews, and other organizational events.

Track and organize key project timelines and deliverables to ensure deadlines are met.

Conduct research and gather data to support initiatives and decision-making.

Assist with maintaining organizational documents, standard operating procedures, and records.

Liaise with internal team members and external partners to support day-to-day operations and long-term goals.

Preferred Qualifications:

One year of experience as an administrative assistant or in a similar role.

High school diploma or GED.

Legally authorized to work in the United States.

Ability to multitask and prioritize duties effectively.

Strong problem-solving skills and adaptability in unexpected situations.

Effective verbal and written communication skills in English.

Demonstrate sound moral character and a kind, professional demeanor appropriate for supporting staff and interacting with families.
