Qualifications

Responsibilities

  • Support the Associate Dean for Advancement, Communications, and the Dean's Office (totaling 100% allocation).
  • Manage day-to-day operations: data querying/analysis, reports from development database, purchase requisitions, and contract processing.
  • Coordinate extensive calendaring and scheduling for the Associate Dean.
  • Support purchasing processes, vendor agreements, and calendar coordination for Communications.
  • Assist with faculty and staff searches, event planning, and other admin duties as needed.
  • Coordinate alumni receptions, donor events, and School functions in partnership with Dean/Associate Dean.

Primary Purpose of Organizational Unit

The mission of the School of Social Work is to advance equity, transform systems, improve lives. Position Summary

The primary purpose of this position is to support the Associate Dean for Advancement, with responsibilities allocated across Development/Advancement (50%), Communications (25%), and the Dean's Office (25%).

  • Within Development/Advancement, duties include, but are not limited to, managing day-to-day operations such as updating, querying, and analyzing data and generating reports from the development database; submitting purchase requisitions and processing contracts; developing relationships and serving as a key liaison between internal and external stakeholders; reconciling travel expenses and processing reimbursements; and providing extensive calendaring and scheduling support for the Associate Dean.
  • In support of Communications (25%), this role will primarily focus on operational and administrative functions, including managing purchasing processes, handling vendor agreements, and coordinating calendars.
  • For the Dean's Office (25%), responsibilities include providing support for faculty and staff searches, as well as assisting with event planning and execution and offering additional administrative support as needed.
  • The Executive Assistant will also play a key role in event planning and project management, assisting in the coordination of alumni receptions, donor events, and School functions in partnership with the Dean and Associate Dean. This role requires frequent high-level interaction with internal and external constituents.
Minimum Education and Experience Requirements

High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

  • Experience with university accounting systems
  • Experience with DAVIE or other customer relationship management software
  • Willingness to collaborate and contribute to team success
