Executive Assistant to the CHRO and HR Chief of Staff. This role is central in keeping priorities aligned, details in order, and communication flowing across a high-visibility, fast-moving environment. This position requires sharp judgment, an eye for anticipating what’s next, and a calm command of shifting schedules and sensitive matters. From preparing board-level materials to coordinating multi-department meetings and tracking budgets, the work is varied, hands-on, and essential. You’ll work closely not only with the CHRO but also with the Chief of Staff and other senior leaders, acting as a point of connection, problem-solver, and a steady presence behind the scenes.

Responsibilities

  • Anticipate the CHRO’s needs with discretion and foresight, ensuring they are well-prepared for meetings, travel, and key events to support the smooth operation of the executive office.
  • Manage the CHRO’s complex calendar with precision, coordinating meetings, travel arrangements, and office logistics to ensure seamless scheduling.
  • Act as the key liaison between the CHRO and the Chief of Staff, and internal/external stakeholders, using sound judgment to address issues independently or escalate when appropriate.
  • Handle sensitive and confidential materials with professionalism and integrity, navigating complex situations while maintaining discretion.
  • Prepare polished presentations, reports, and executive correspondence for the Board and senior leadership, demonstrating strong communication and writing skills.
  • Maintain organized and efficient filing systems, ensuring information is securely stored and easily accessible in both electronic and physical formats.
  • Assist with budget preparation and expense tracking, ensuring accuracy and accountability in financial processes.
  • Coordinate and manage large meetings involving multiple departments, overseeing all logistical aspects to ensure successful execution.
  • Provide flexible support to other executive team members as needed, contributing to the overall effectiveness and collaboration of the leadership team.
  • Contribute to special projects and initiatives by offering administrative support and expertise to help achieve organizational goals.

Ideal Experience

  • A bachelor's Degree, with 7+ years of experience as an executive assistant supporting a senior leader within a legal capacity, is strongly preferred.
  • Strong skills in Microsoft Word, Excel, PowerPoint, Outlook, and other Microsoft applications.
  • Exceptional communication skills, both oral and written, with the ability to craft high-level documents.
  • Organized and detail-oriented with the ability to multitask effectively and maintain composure under pressure.
  • Daily use of good judgment, particularly when handling confidential information, is essential.
