Responsibilities

  • Serves as a trusted partner to the CEO, providing high-level administrative and strategic support.
  • Represents executives in communications with internal and external stakeholders, including drafting responses and managing follow-up.
  • Owns complex calendar management, ensuring alignment with shifting priorities and organizational goals.
  • Composes and edits correspondence, reports, and other executive-level communications on behalf of leadership.
  • Prepares executives for meetings by compiling materials, capturing key takeaways, and tracking action items to completion.
  • Acts as a central point of contact between executives, clients, and cross-functional teams to ensure timely decisions and clear communication.
  • Contributes to strategic planning and project execution by coordinating logistics, timelines, and follow-ups across departments.
  • Drives the progress of critical initiatives by managing timelines, removing roadblocks, and ensuring accountability.
  • Conducts research and prepares briefing materials to support informed executive decision-making.
  • Develops and maintains operational processes and systems to enhance executive productivity and team efficiency.
  • Manages sensitive and confidential information with discretion, maintaining meticulous records and documentation.

Ideal Experience

  • Must have 3-7 years of supporting an executive in financial services.
  • Proven experience organizing and leading projects, meeting time-sensitive deadlines.
  • Excellent communicator across email, chat, video communication platforms, and in person.
  • Extremely versatile, dedicated to efficient productivity.
