Job summary

Mobility Global is seeking an experienced Executive Assistant to support the senior leadership team in a fast-paced, global organization from our Virginia office. You will manage complex calendars across multiple time zones, coordinate domestic and international travel, prepare briefing materials, and handle confidential information with discretion.

Responsibilities

  • Provide comprehensive executive support to senior leadership, managing complex, high-volume calendars across multiple time zones.
  • Coordinate end-to-end domestic and international travel arrangements, visa processing, itineraries, and expense reconciliation.
  • Schedule and facilitate meetings including town halls and confidential engagements for senior leaders.
  • Oversee meeting logistics—venue, catering, A/V, and technology—ensuring seamless execution.
  • Draft agendas, prepare briefing materials, capture minutes, and create polished PowerPoint presentations.
  • Serve as liaison between senior leadership and internal/external stakeholders, maintaining confidentiality.
  • Collaborate with peer Executive Assistants to align priorities and maintain seamless communication.
  • Step in for dynamic team coverage during high-stakes moments.
  • Identify opportunities to optimize processes and anticipate executive needs.

Mobility Global is seeking a highly experienced, proactive, and detail-oriented Executive Assistant to provide comprehensive support to the senior executive leadership team. This critical, high-impact role requires exceptional organizational, communication, and technical skills. As a trusted partner to senior leaders, you will manage complex priorities and serve as the central point of coordination—overseeing schedules, communications, and logistics with precision, discretion, and urgency. Your ability to anticipate needs, solve problems, and maintain confidentiality will be essential to your success.

What You'll Do:
  • Provide comprehensive executive support to members of the senior leadership team, managing complex, high-volume calendars and prioritizing across multiple time zones and stakeholders.
  • Coordinate end-to-end domestic and international travel arrangements, including visa processing, detailed itineraries, and timely expense reconciliation.
  • Schedule and facilitate a wide range of meetings, including global town halls, board-level sessions, and confidential engagements for senior leaders.
  • Oversee all meeting logistics—venue bookings, catering, A/V setup, and technology requirements—ensuring seamless execution.
  • Draft agendas, prepare briefing materials, capture meeting minutes, and create polished, high-quality PowerPoint presentations for executive use.
  • Serve as a key liaison between senior leadership and internal/external stakeholders, handling sensitive and confidential information with the utmost discretion.
  • Collaborates closely with a peer network of Executive Assistants to streamline cross-departmental scheduling, align executive priorities, and maintain seamless communication across leadership teams.
  • Be ready to step in for dynamic team coverage, and rally collective support during high-stakes, all-hands-on-deck moments.
  • Proactively identify opportunities to optimize processes, anticipate executive needs, and resolve challenges in a fast-paced, dynamic environment.
  • Support other critical projects and initiatives as directed by senior leadership.
What We're Looking For:
  • Extensive experience supporting senior executives (C-Suite or equivalent) in a publicly traded global organization.
  • Exceptional interpersonal and communication skills with the ability to represent senior leadership internally and externally with professionalism and clarity.
  • Strong command of virtual collaboration tools, including Microsoft Teams, Zoom, and Google Meet.
  • Highly technically savvy, with the ability to quickly learn and master new applications, tools, and systems.
  • Proven track record of handling sensitive information and maintaining confidentiality.
Additional Preferred Qualifications:
  • 10+ years of progressive experience as an Executive Assistant, including 5+ years supporting C‑Suite or senior executive leadership.
  • Experience working within a large, complex global organization, ideally in the mobility, technology, or automotive sectors.
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word); familiarity with HRIS, procurement, and other enterprise-level systems.
  • Demonstrated ability to navigate executive-level demands and operate effectively in high-stakes, fast-paced environments.
  • Strong problem‑solving skills and a proactive, resourceful approach to supporting senior leadership.

This is an in-office role with expectations of 5 days a week reporting to the Virginia office, subject to change based on evolving business needs.

This position is open to applicants who are currently authorized to work in the United States and will not require employer sponsorship now or in the future.

The anticipated annual base salary range for this position is $68,000 - $125,000. Actual compensation within this range will be determined based on a variety of factors, including geographic location, relevant experience, skills, qualifications, and internal equity considerations.
