Job summary

Ardent Health Services is seeking an Executive Assistant to provide high-level administrative support to the executives across the network. This role coordinates calendars, schedules site visits, makes travel arrangements, and manages confidential information with discretion.

You will prepare presentations and reports, process expense reimbursements, and backfill for absences during peak periods while maintaining orderly filing and strong organizational practices.

Qualifications

  • Associates degree or high school diploma required.
  • 5+ years as an executive assistant, preferably supporting C-suite.
  • Experience with Microsoft Office: Word, Excel, Outlook, PowerPoint.
  • Strong organizational, communication, and confidentiality skills.
  • Ability to prioritize and meet deadlines.

Responsibilities

  • Provides administrative support to executives.
  • Builds relationships with Executives and other EAs within Ardent’s network.
  • Prepares, revises and distributes executive correspondence and materials.
  • Maintains daily calendars and coordinates meetings via Outlook.
  • Coordinates travel and on-site/off-site meetings, including itineraries and materials.
  • Processes and submits travel expense reports for the department in a timely manner.
  • Maintains an accurate filing system and supports other departments when needed.

POSITION SUMMARY:

The Executive Assistant will provide administrative support and will be responsible for a wide ranging, diverse group of tasks. As a key member of the team, the Executive Assistant will schedule and will coordinate site visits, make travel arrangements, manages calendars, process expense reports and other various administrative tasks.

Responsibilities
  1. Provides administrative support.
  2. Builds successful relationships with Executives and Executive Assistant’s across Ardent’s network of hospitals.
  3. Manages, prepares and distributes executive correspondence
  4. Prepares, revises and reviews documents including, but not limited to, operational reports, presentations, reference material, policies and procedures and contracts (Power Point presentations, Word documents, Excel Spreadsheets, etc.).
  5. Maintains daily calendar and schedule for designated corporate staff members via Microsoft Outlook.
  6. Upholds the utmost level of confidentiality and provides priority updates and alerts to executive team.
  7. Coordinates activities relating to on-site and off-site meetings and conferences including hotel and travel arrangements, itineraries, preparation of support materials, meal planning and related tasks.
  8. Coordinates travel arrangements for members of department.
  9. Processes and submits travel expense reports for the entire department for timely reimbursement.
  10. Provides support to departments when needed to cover for absences, heavy workload, etc.
  11. Maintains an accurate and efficient filing system.
  12. Performs other duties as assigned.
Qualifications

Required Qualifications

  • Associates degree or High School Diploma.
  • 5+ years of experience as an executive assistant with a preference towards C suite support.
  • Experience with Microsoft Office including Word, Excel, Outlook and PowerPoint.
  • Skill in organizing and prioritizing workloads to meet deadlines.
  • Effective oral and written communication skills.
  • Ability to interpret, adapt and apply guidelines and procedures.
  • Ability to use good judgment regarding administrative issues.
  • Skill in telephone etiquette.
  • Ability to communicate effectively with managers and co-workers.
  • Ability to use good judgment and to maintain confidentiality of information.

Preferred Qualifications

  • Bachelor’s degree.
