This role is essential to ensuring smooth daily operations, effective communication, and efficient coordination across multiple teams. You will manage complex schedules, confidential correspondence, executive meetings, travel arrangements, and organizational priorities. Accountabilities
  • Provide comprehensive administrative support to multiple executive and senior leaders, ensuring that daily priorities and complex requests are handled efficiently and professionally.
  • Manage executive calendars, schedule meetings, resolve scheduling conflicts, coordinate invitations, and proactively anticipate upcoming commitments and deadlines.
  • Organize meetings and corporate events, including preparing agendas, recording and distributing minutes, coordinating participant responses, arranging venues, and managing travel and registration logistics.
  • Coordinate domestic travel arrangements, including flights, hotels, ground transportation, and dining reservations, while ensuring itineraries align with executive preferences.
  • Prepare, proofread, format, and distribute presentations, reports, correspondence, and other business documents using established templates and standards.
  • Manage executive correspondence, emails, mail, packages, and action items, ensuring requests are directed to the appropriate teams and followed through to completion.
  • Process expense reports and invoices accurately and on time, ensuring compliance with internal accounting and billing policies.
  • Support committees and enterprise-wide initiatives by maintaining corporate records, documenting decisions, tracking action items, and coordinating administrative deliverables.
  • Coordinate executive onboarding with Human Resources and other internal teams, ensuring equipment, system access, corporate credit cards, facilities access, and introductory meetings are arranged.
  • Maintain strict confidentiality when handling sensitive business information, executive communications, personnel matters, and corporate documentation.
  • Establish effective prioritization systems to distinguish urgent matters from routine requests, independently resolve issues, and delegate or redirect tasks when appropriate.
  • Collaborate professionally with employees at all levels, business partners, vendors, consultants, and external stakeholders while maintaining strong working relationships.
  • Provide backup administrative support to other executive administrators during absences, business travel, or periods of increased workload.
  • Identify opportunities to improve administrative processes, document recommended changes, coordinate implementation, and evaluate their effectiveness.
  • Participate in virtual and in-person meetings and events as required, including occasional travel and support outside standard business hours for urgent requests.
Requirements
  • An associate degree or at least five years of relevant administrative or operational support experience for managers, directors, or executives. A bachelor's degree is preferred.
  • At least three years of experience as an Executive Assistant, or five or more years as an Administrative Assistant, or an equivalent combination of relevant experience.
  • Experience supporting a sales organization is highly preferred.
  • Advanced proficiency in Microsoft Office applications, particularly Outlook, Excel, Word, and PowerPoint.
  • Excellent verbal and written communication skills, including the ability to draft, review, and manage executive-level correspondence and business communications.
  • Strong organizational and time-management skills, with the ability to coordinate multiple priorities, meet deadlines, and respond effectively to changing requirements.
  • Proven ability to exercise sound judgment, anticipate potential issues, solve problems independently, and complete assignments accurately with minimal supervision.
  • Excellent interpersonal skills and the ability to establish productive relationships with executives, colleagues, clients, vendors, and other stakeholders.
  • Demonstrated discretion and integrity when managing confidential information and sensitive business matters.
  • Flexibility, adaptability, and a proactive, service-oriented mindset, with the ability to perform effectively in a fast-paced, high-pressure environment.
  • Ability to work independently while contributing to a collaborative administrative team and supporting broader organizational objectives.
  • Willingness to respond to urgent requests outside regular working hours and travel occasionally for on-site or off-site meetings and events.
  • Availability to work remotely from within the United States. This position is not currently eligible for employment visa sponsorship.
