Job summary

Casey Family Programs, an Equal Opportunity Employer, seeks an Administrative Specialist to provide executive-level administrative and project support for the Managing Director and team in Seattle. The role coordinates calendars and travel, manages projects/events, drafts documents, and helps with budgets and invoicing.

Candidates should have a Bachelor’s degree with at least five years of administrative experience, including three at the executive level, and strong MS Office/Excel skills.

Qualifications

  • Bachelor’s degree required; minimum 5 years admin support experience, 3+ at executive level.
  • Strong organizational, verbal and written communication skills; ability to work autonomously.
  • Advanced Microsoft Office skills; Excel proficiency
  • Experience in diverse, multi-cultural environments.
  • Ability to work onsite full-time and manage high-pressure situations.

Responsibilities

  • Maintain MD/Senior Director’s calendar and travel schedule; coordinate with internal/external parties.
  • Lead projects/events at local and national level with leadership team and partners.
  • Draft and edit memoranda, reports, presentations and other documents.
  • Develop and maintain administrative processes aligned with Casey policies.
  • Support budget maintenance, invoices, expense reports, and financial items.
