Motion Industries in Atlanta, GA is seeking an Executive Administrative Assistant / Paralegal to support the VP - Legal and the legal team. The role combines high-level administrative duties with paralegal tasks in a dynamic public company environment across distribution centers, branches, and facilities.

The ideal candidate will be highly organized, discreet, and proactive, with 5+ years of legal support experience, strong MS Office skills, and experience managing contracts, leases, and matter

Qualifications

  • Associate or Bachelor degree or equivalent experience
  • Paralegal certificate preferred
  • Minimum 5 years in administrative, paralegal or legal support role
  • Proficiency with Microsoft Office and document management systems
  • Strong written and verbal communication, discretion and professionalism

Responsibilities

  • Manage VP - Legal's calendar, schedule meetings, coordinate travel and priorities
  • Prepare, format, proofread and finalize legal documents and reports
  • Track contract and real estate lease status, renewals and deadlines
  • Organize and maintain legal files and document management systems
  • Draft routine correspondence with internal teams, outside counsel and vendors
  • Support onboarding of outside counsel and track legal invoices and budgets
  • Provide general administrative support and department coordination

Job description

The Executive Administrative Assistant / Paralegal sits within the Legal department and provides high-level administrative and paralegal support to the VP - Legal and the broader legal team. This position joins the newly created legal team at Motion Industries’ Atlanta, GA location; the role will be reporting to Motion Industries’ VP - Legal. The successful candidate will be highly organized, detail-oriented, discreet, self-motivated, team-oriented, and comfortable working in a dynamic public company environment supporting the company’s distribution centers, branches, and other facilities.ResponsibilitiesManage the VP - Legal’s calendar, schedule meetings, coordinate travel, and prioritize competing demandsPrepare, format, proofread, and finalize legal documents, correspondence, presentations, and reportsMaintain and track the status of commercial contracts and real estate leases, including key dates, renewals, and deadlinesOrganize and maintain the legal department’s files, records, and document management systems for contracts, leases, and related legal documentsConduct preliminary legal and factual research to support the legal team on contract, lease, and general corporate mattersDraft and manage routine correspondence with internal teams, outside counsel, vendors, and landlordsCoordinate with internal real estate, procurement, lease management, and business teams to gather information and route documents for review and signatureManage the contract and document execution process, including circulating signature packets and maintaining fully executed records·Assist with onboarding of outside counsel, processing engagement letters, and tracking legal invoices and budgetsManage and maintain the LexisNexis Counsel Link platform for legal matter management, outside counsel e-billing, spend management, and invoice reviewProvide general administrative support to the legal team, including expense reports, meeting logistics, and department coordinationRequired Qualifications and Experience:Associate’s or Bachelor’s degree, or equivalent relevant experience; paralegal certificate preferredMinimum of 5 years’ experience in an administrative, paralegal, or legal support role, preferably within a corporate legal department or established law firmProficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint) and document management systemsStrong organizational skills; must be able to manage and prioritize multiple business objectives and projects with the proper sense of urgencyExceptional written and verbal communication skillsHigh degree of professionalism, discretion, and ability to handle confidential informationPreferred Qualifications & Skills:Experience supporting a corporate legal department or in-house legal teamFamiliarity with commercial contracts and real estate leasing terminology and processesExperience with contract lifecycle management or e-signature platformsProven ability to manage internal and external relationshipsSelf-starter and responsiveAble to work collaboratively; team playerNot the right fit?
