We are seeking a highly organized, proactive, and resourceful Executive Administrative Assistant to provide comprehensive administrative and operational support to senior leadership. This role is ideal for someone who thrives in a fast-paced environment, anticipates needs before they arise, and enjoys serving as a trusted partner to executives and cross-functional teams.
As an Executive Administrator, you will play a critical role in keeping leaders organized, managing competing priorities, coordinating high-impact meetings and events, and ensuring daily business operations run smoothly. You'll also support onboarding and offboarding, office operations, budget tracking, and special projects that contribute to organizational success.
What will you be doing?
Executive Support
- Provide high-level administrative support to one or more executives.
- Manage complex calendars, prioritize scheduling requests, and resolve conflicts across multiple time zones.
- Coordinate domestic and international travel, including itineraries, accommodations, transportation, and expense reporting.
- Prepare meeting agendas, presentation materials, briefing documents, and executive correspondence.
- Track action items, follow up on deliverables, and ensure timely completion of executive priorities.
- Handle confidential information with the highest level of discretion and professionalism.
Calendar & Meeting Management
- Manage executive calendars with changing priorities and competing deadlines.
- Coordinate internal and external meetings across global teams.
- Schedule leadership meetings, all-hands meetings, offsites, customer meetings, and executive reviews.
- Reserve conference rooms, coordinate virtual meetings, and ensure meeting logistics are executed seamlessly.
- Prepare meeting materials, capture notes, and track follow-up actions when needed.
Event Planning & Coordination
- Plan and execute team meetings, leadership offsites, customer events, holiday celebrations, volunteer activities, and employee engagement initiatives.
- Manage event logistics including venues, catering, travel, vendor coordination, budgets, and communications.
- Partner with internal stakeholders to deliver successful virtual and in-person events.
Onboarding & Offboarding
- Coordinate end-to-end onboarding activities for new employees and contractors.
- Prepare onboarding schedules and coordinate equipment, workspace, system access, and introductions.
- Facilitate offboarding activities, including asset recovery, access removal, documentation, and transition planning.
- Serve as a point of contact to ensure a positive onboarding and offboarding experience.
Office Management
- Support daily office operations to ensure an organized and productive workplace.
- Manage office supplies, equipment, vendor relationships, and facility requests.
- Coordinate workspace planning, visitor management, and office communications.
- Assist with health, safety, and workplace initiatives.
Budget & Financial Administration
- Track departmental budgets and expenses.
- Process invoices, purchase orders, reimbursements, and vendor payments.
- Monitor spending against budget forecasts and prepare expense reports.
- Partner with Finance to support budget planning and reporting.
Project & Operational Support
- Coordinate cross-functional initiatives and administrative projects.
- Develop and maintain documentation, standard operating procedures (SOPs), and process improvements.
- Track project milestones, deliverables, and deadlines.
- Identify opportunities to improve efficiency through automation and process optimization.
- Support organizational communications and reporting.
What you should bring to the table:
- 2+ years of experience supporting executives in a fast-paced corporate environment.
- Demonstrated experience managing complex executive calendars and scheduling across multiple time zones.
- Experience planning meetings, executive offsites, and corporate events.
- Experience coordinating employee onboarding and offboarding processes.
- Experience managing office operations and vendor relationships.
- Experience supporting departmental budgets, expense management, and procurement activities.
- Exceptional organizational, prioritization, and time management skills.
- Outstanding written and verbal communication skills.
- Expert in MS Office.
- Strong attention to detail with the ability to manage multiple priorities simultaneously.
- Ability to exercise sound judgment and maintain confidentiality.
Salary Range: $25.00-30.00/hour
Financial: 401(k) with company match
Time off: PTO accrual
