POSITION OVERVIEW – Executive Admin Assistant
The main function of an Executive Administrative Assistant is to provide high-level administrative support to the VP of HR and HR organization. This individual will serve as an information and communication manager for executive leadership and their teams, while managing a highly active calendar, coordinating meetings and travel, supporting HR operations, handling confidential information, and managing a variety of administrative and office management responsibilities.
RESPONSIBILITIES
- Provide high-level administrative support to the VP of HR, including complex calendar management, daily administrative tasks, scheduling, and support for HR team functions
- Manage an extremely active executive calendar, prioritize meeting requests, resolve scheduling conflicts, and proactively communicate changes to ensure executives remain on track
- Prepare agendas and coordinate meetings, committee meetings, leadership meetings, and other organizational events
- Coordinate executive travel, meeting arrangements, expense reports, and other administrative submissions
- Prepare and review invoices, reports, memos, letters, financial statements, presentations, and other business documents
- Review and analyze incoming correspondence, submissions, and reports to determine significance and appropriate distribution
- Open, sort, organize, and distribute incoming correspondence, including emails and other communications
- Prepare responses to correspondence and route inquiries to the appropriate individuals
- Assist with event planning, including scheduling, catering, setup, breakdown, budgeting, and logistics
- Support staff onboarding and offboarding, including coordinating equipment setup, system access, IT requests, and other administrative requirements
- Maintain corporate records, documents, reports, organizational charts, seating charts, and other administrative information
- Manage office supplies, equipment, facilities, and general office operations
- Triage and perform basic troubleshooting for hardware, software, phone, and other office technology issues
- Submit and manage administrative requests, including IT requests and other organizational support needs
- Serve as a liaison between internal executives, customers, HR teams, and other stakeholders
- Develop and maintain strong cross-divisional relationships with other administrative assistants and internal teams
- Maintain confidentiality when handling sensitive executive, employee, and HR-related information
- Handle ad hoc administrative duties and special projects as they arise
REQUIRED SKILLS
- Bachelor’s degree or equivalent work experience
- 8-10 years of corporate administrative experience required
- Previous experience directly supporting executives is mandatory
- Strong executive-level calendar management and scheduling experience
- Strong verbal and written communication, multitasking, customer service, and interpersonal skills
- Expert ability to work independently, manage time effectively, and prioritize competing responsibilities
- Expert ability to organize information and maintain confidentiality
- Strong professional demeanor with exceptional follow‑up skills and attention to detail
- Strong event planning and budgeting experience
- Experience coordinating executive travel, meetings, expenses, and administrative requests
- Experience supporting employee onboarding and offboarding processes
- Ability to build relationships across teams and work effectively with executive‑level stakeholders
- Strong Microsoft Office skills, including Microsoft Word, Excel, and PowerPoint
- Korean and English bilingual skills preferred
- Experience supporting HR leadership or working within an HR organization is highly preferred
