Qualifications

  • Associate's degree or equivalent combination of education and experience.
  • Minimum of five (5) years of executive administrative support experience.
  • Experience supporting multiple executives simultaneously.
  • Exceptional organizational and time management skills.
  • Strong verbal and written communication skills.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.

Responsibilities

  • Provide administrative support to multiple members of the Executive Leadership Team.
  • Manage complex calendars, scheduling, and meeting coordination.
  • Prepare meeting agendas, materials, and meeting minutes.
  • Draft and prepare correspondence, reports, presentations, and executive communications.
  • Maintain confidential and sensitive information with professionalism and discretion.
  • Coordinate travel arrangements, conference registrations, and executive events.
  • Serve as a liaison between executives, departments, partners, and external stakeholders.
  • Track deadlines, action items, and follow-up activities to ensure timely completion.
  • Support board and committee activities as assigned.
  • Assist with special projects, leadership meetings, retreats, and organizational initiatives.

What You'll Do

As an Executive Administrative Assistant, you will:

  • Provide administrative support to multiple members of the Executive Leadership Team
  • Manage complex calendars, scheduling, and meeting coordination

Qualifications
Required
  • Associate's degree or an equivalent combination of education and experience
  • Minimum of five (5) years of executive administrative support experience
  • Experience supporting multiple executives simultaneously

  • Experience within a nonprofit, healthcare, human services, behavioral health, or IDD organization
  • Experience supporting executive leadership teams or board-level activities
  • Familiarity with project management and meeting management tools
Schedule
  • Full-Time Position
  • Primarily weekday business hours
  • Occasional flexibility may be required to support meetings, events, and executive schedules
  • Position based in Philadelphia, Pennsylvania
Physical Requirements
  • Ability to sit, stand, bend, reach, and use office equipment throughout the workday
  • Ability to lift up to 50 pounds when necessaryAbility to travel locally as needed
  • Ability to perform essential job functions with or without reasonable accommodation
