Job Description

Provides advanced administrative support to the Senior Vice President, Quality & EHS. May provide back up support to higher-level management as needed.

  • Responsibilities include all administrative functions of the department while supporting multiple vice presidents: answering phones, calendar management, scheduling travel, managing correspondence, processing expense reports, meeting/event planning, creating or modifying business documents, preparing presentations from source materials, handling technology and equipment setups, acting as a liaison for remote access issues.
  • Responsible for scheduling and calendar management of mandatory Quality meetings per protocol guidelines. Meetings inclusive of executive/senior leadership teams.
  • Liaison between leadership team members and management.
  • Proactively identifies and resolves scheduling conflicts
  • Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable). Orders office supplies as necessary.
  • Uses intermediate to advanced software skills to perform work assigned.
  • Uses and understands Microsoft Office Suite and other business-specific software, including the Corporate Travel Web site, and employee performance management systems (as applicable).
  • Coordinates new employee office set-ups and onboarding and may assist with offboarding activities such as equipment return.
  • May train/coordinate work for new administrative assistants.
  • Follows executive onboarding procedures.

Qualifications
  • High School diploma or equivalent. Some college preferred.
  • 5+ years previous admin experience or equivalent supporting VP levels
  • Operates with little instruction and minimal supervision.
  • Advanced knowledge of Microsoft Office Suite (including Outlook), One Drive, Sharepoint sites, Adobe Acrobat, organization charts, and understanding of business processes and requirements.
  • Self-starter able to function at a high-level with general instructions
  • Builds strong relationships with peers and cross-functional partners within and outside assigned groups as necessary to enable effective and efficient operations
  • Team oriented, professional demeanor with ability to maintain confidentiality
  • Learns quickly and can change course quickly as needed.
