Job description

Lift Business Resources is seeking a highly organized, proactive, and tech-savvy Executive Administrative Assistant to support executives and business owners. This role involves managing complex schedules, streamlining communication, and handling various administrative responsibilities with efficiency and discretion. The assistant will play a key role in supporting daily operations, managing sensitive information, and ensuring that initiatives, goals, and projects progress on track.

Responsibilities:

  • Schedule & Calendar Management: Coordinate and manage appointments, meetings, conferences, and travel arrangements for executives and/or business owners, optimizing time and priorities
  • Information Management: Maintain organized files, records, and confidential information. Conduct research, compile data, and prepare reports or presentations. Update and manage CRM systems
  • Project Coordination: Monitor ongoing projects, track progress, and ensure deadlines are met. Collaborate with team members to gather information and support seamless execution
  • Task Delegation: Identify tasks that can be assigned to team members or external providers. Coordinate and oversee task completion to ensure accuracy and timeliness
  • Tech-Savvy Operational Support: Utilize project management tools to track tasks and deadlines, maintain digital workspaces to facilitate collaboration, organize digital resources, and manage SOPs or knowledge bases across various platforms. Additionally, assist with implementing social media strategies as needed
  • General Administrative Support: Draft and proofread documents, handle correspondence, and assist with other tasks as needed
  • Relationship Management: Build and maintain positive relationships with key stakeholders, including clients, partners, and employees. Prepare meeting agendas, coordinate meetings, and take minutes as needed
  • Travel & Logistics Coordination: Arrange travel, including flights, accommodations, and transportation, to ensure smooth business trips for executives and/or business owners. Prepare itineraries and provide necessary travel details
  • Financial Administration: Assist with financial tasks, including expense tracking, invoice processing, and budget monitoring. Coordinate with the finance department and vendors as needed
  • Meeting Support: Prepare meeting materials, agendas, and presentations. Attend meetings, take notes, and follow up on action items to ensure effective communication

Requirements:

  • Proven experience as an Executive Assistant supporting an executive and/or business owner
  • Experience managing CRM systems
  • Exceptional organizational and time management skills with the ability to prioritize effectively
  • Strong written and verbal communication skills
  • Proficiency in virtual communication tools, project management software, and other relevant applications
  • High level of discretion and confidentiality in handling sensitive information
  • Strong attention to detail and problem-solving abilities
  • Self-motivated and proactive, with the ability to work independently and meet deadlines
