Williams Companies in Tulsa, OK seeks an experienced Event Coordinator to manage end-to-end logistics for internal and external events. You will coordinate venues, registrations, travel, catering, materials, and onsite execution while aligning with brand standards and leadership objectives.
The role requires 2+ years in event coordination with budget tracking, invoicing, and vendor coordination. A strong communicator and multitasker is essential for success in a hybrid office environment.

Executes and manages all end-to-end logistics for internal and external events, including venue sourcing & arrangements, registration, travel coordination, catering, event materials, and onsite execution
Partners with internal stakeholders and vendors to ensure event details are delivered accurately, on schedule, and aligned with established objectives
Manages vendor coordination activities, including obtaining quotes, processing invoices, tracking expenses, and maintaining event-related documentation
Oversees the event logistics budgets and identifying cost variances or potential issues for review by leadership
Coordinates the development and distribution of event communications and materials, including invitations, agendas, presentation support, speaker logistics, signage, and run-of-show documents
Collaborates with Communications, Creative, and business partners to ensure materials are accurate, timely, and consistent with brand standards
Serves as a primary point of contact for attendees, speakers, vendors, and internal stakeholders by responding to inquiries, coordinating event details, and tracking action items
Supports post-event activities, including feedback collection, invoice reconciliation, documentation of lessons learned, and recommendations to improve future event execution
Other duties as assigned
Required: Associate’s degree in Communications, Public Relations, Marketing, or Hospitality and two (2) years’ experience in event coordination and logistics support, budget tracking and invoicing, and vendor stakeholder coordination
Preferred: Associate’s degree in Communications, Public Relations, Marketing, or Hospitality and five (5) years’ experience in event coordination and logistics support, budget tracking and invoicing, and vendor stakeholder coordination
Demonstrates excellent organizational/interpersonal skills and safety as the utmost priority
Proficiency in Microsoft Office Applications and PC skills
Event oversight, coordination and planning experience
Project Management experience and ability to manage multiple events simultaneously
Proven ability to collaborate across functions and manage multiple stakeholders
Excellent written and verbal communication skills
Ability to examine and coordinate vendor contract requirements
Experience supporting corporate communications, brand, or executive-level events
Ability to multitask and manage priorities, track budgets and invoices, manage event logistics, maintain attention to detail, and meet deadlines in a fast-paced environment
Demonstrated ability to build effective working relationships with internal stakeholders, vendors, and event participants while providing a high level of customer service and professionalism
