Job summary

Experimental Aircraft Association in Oshkosh, WI seeks an Event Services Assistant to support planning and delivery of programmatic and hosted events. You will enter data, assist with setup and teardown, and coordinate supplies for indoor and outdoor events.

The role requires strong customer service, organizational skills, and the ability to work flexible hours including evenings and weekends, with duties spanning Beverage Service and Kitchen programs during AirVenture.

Qualifications

  • High school diploma and at least 3-5 years of customer service and/or administrative experience.
  • Must be either enrolling or currently enrolled in a secondary school program related to Event Management or a similar field.
  • Ability to work a flexible schedule to include evenings and weekends.

Responsibilities

  • Entering data using EAA events system.
  • Assist in the set up and take down for events, including the assembly of centerpieces.
  • Order necessary supplies for each event, conduct inventory upon arrival, and deliver to and take down at appropriate locations.
  • Serve as an organizational resource on ideas for themes, speakers and other fulfillment options; research and inform event owners regarding prospective meeting sites.
  • Ensure completeness and appropriate standards of all event venue setups.
  • Assist with vendor deliveries and pickups.
  • Work to ensure all beverage service areas and equipment and maintained and sanitary.
  • Assist with AirVenture’s Volunteer Kitchen and Operation Thirst programs.
  • Monitor event activities to ensure compliance with corporate-wide policies, guidelines and standards, applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
  • Distribute participant evaluations, collect and analyze data, prepare and submit timely reports to continually upgrade quality of future events; conduct post-event review with event owners and make recommendations for future events.
  • Plan and execute small events.
  • Setup and prepare for meeting with caterers to finalize event details.
  • Embraces and supports the EAA mission and performs safe practices in the workplace and aviation environment.
  • All other duties as assigned.

SUMMARY

Assist Event Coordinators in planning and delivery of EAA’s programmatic, internal and hosted events including field and Oshkosh-based member program events, business and fund development events, company-sponsored employee events, and external client events both indoor and outdoor.

Note: This will include time outside of regular business hours including evenings and weekends as necessary.

POSITION QUALIFICATIONS
  • High school diploma and at least 3-5 years of customer service and/or administrative experience.
  • Must be either enrolling or currently enrolled in a secondary school program related to Event Management or a similar field.
  • Ability to work a flexible schedule to include evenings and weekends.
  • Ability to work independently, work under pressure of deadlines, handle multiple. priorities, pay close attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
PREFERRED QUALIFICATIONS
  • Knowledge of Innfusion or other scheduling and detailing software is desired.
  • City of Oshkosh bartending license. To obtain, EAA will send and pay for training.
PHYSICAL REQUIREMENTS

Typical office setting. Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

Preparation for AirVenture or other events may require lifting up to 50 lbs. occasionally, standing and walking for extended periods of time while bending, squatting, kneeling, twisting, and push and pull motions.
