Job Summary: Ice Miller LLP is seeking a full-time Events Coordinator who will be responsible for coordinating and supporting Firm events across various offices, from conception through execution. The ideal candidate must be able to work in a fast-paced environment with time-sensitive deadlines and maintain strict confidentiality due to the nature of the position.
- Salary in the range of $40,000 – $70,000 dependent on experience level and geographic location***
Essential Job Duties:
- Assist the Firm’s Events Manager with the logistical planning of Firm-oriented events, including but not limited to seminars, webinars, breakfasts, lunches, dinners, and receptions. Duties include assisting with venue research and menu selection; serving as the on-site point of contact (when applicable), including greeting and directing attendees; and reconciling expenses post-event.
- Create and distribute event invitations and monitor RSVPs.
- Prepare and/or coordinate, as appropriate, event materials including signage, promotional items, name tags, folders, and marketing collateral.
- Serve as the primary contact for questions regarding event registration and details.
- Liaise with administrative departments to stay informed on planned internal events, including but not limited to Firm meetings, partner meetings, associate lunches, board meetings, practice group meetings, holiday parties, and receptions.
- Provide support for sports and entertainment business development opportunities by performing assigned administrative tasks.
- Collaborate with Firm attorneys and business professionals to maximize the effectiveness of events by assisting with follow-up activities.
- Utilize the Firm’s Customer Relationship Management (CRM) system to manage client information, mailing lists, attendance records, and other data to support event and relationship-building efforts.
- Work with the business development team to assist with practice group initiatives, as appropriate.
- Collaborate across practice groups and administrative departments to enhance the impact of Firm events, including follow-up and post-event reporting.
- Assist with the creation and distribution of audience-targeted communications.
- Provide support on cross-functional team projects.
Minimum Requirements:
- Bachelor’s degree required.
- Degree or background in hospitality, marketing, communications, or a related field preferred.
- 3+ years of event planning experience preferred.
- Ability to travel and attend events that may take place outside of normal business hours and/or in other cities.
- Familiarity with the roles, responsibilities, and initiatives of internal administrative departments.
- Understanding of the Firm’s strategic plan and core values.
- Strong technology skills and proficiency in Microsoft Office and marketing platforms.
- Ability to work independently and contribute ideas for process improvements.
