Job Description

The Catering Coordinator is responsible for assisting in the daily operations of our events and meeting space to ensure overall client satisfaction. This individual will report to the Director of Catering and Conference Services and handle all administrative duties as assigned by the Catering Department.

Responsibilities
  • Create BEOs for ASC Events (Galas, Christmas parties, associate gatherings)
  • Compile and distribute weekly Resume Packets
  • Organize weekly CS Manager Go-To Schedule
  • Generate and distribute weekly Medallia pre-pull reports
  • Coordinate weekly distribution of Post Con reports
  • Create Bookings and Block Space for Tastings in FDC as needed
  • Create Tasting Menu Cards as needed
  • Coordinate Group Sales Contract Turnover process
  • Produce Meal and Parking Vouchers
  • Coordinate Transportation for clients
  • Coordinate and produce information required for Preconvention meetings
  • Input client amenities into Alice system
  • Create restaurant reservations as needed
  • Complete Expense Reports
  • Break down file folders
  • Create PO’s, Birchstreet orders, and Check Requests
  • Support CSMs with ICW bookings
  • Create Diagrams as needed
  • Initiate resume shells for CSMs
  • Answer incoming telephone calls and respond to inquiries by determining clients' needs and specifications for referral to the appropriate Manager
  • Send all information requested by Manager to clients
  • Maintain filing systems
  • Complete and distribute Banquet Event Orders and Group Resumes as needed
  • Maintain department inventory of office supplies
  • Establish rapport with clients and function as Manager’s liaison
  • Support special projects as assigned by Department Manager
  • Setup requests with preferred vendors on behalf of managers and/or clients
  • Coordinate Select Rewards fulfillment requests
Qualifications
  • Must have working knowledge of Excel, Word, Outlook, PowerPoint
  • Must be organized and detail-oriented
  • Must be able to handle multiple tasks simultaneously
  • Previous hotel, catering, and Delphi experience preferred
