Highgate Hotels is seeking a Catering & Conference Services Coordinator for Alohilani Resort Waikiki Beach in Honolulu, HI. This role supports the Catering & Conference Services team with administrative duties, contract and event order processing, and coordination of spaces and services.

You will handle phones, emails, scheduling, and reporting using Delphi and Opera systems, ensuring accurate, timely communication with clients and internal teams. Weekend/evening flexibility may be required.

Qualifications

• High school diploma or equivalent required; Bachelor's degree in hospitality, business, marketing, sales, and/or communications or related preferred.
• Minimum of 1–2 years administrative experience in a fast-paced environment required.
• Prior experience in a catering/conference services office preferred; luxury hotel experience highly desirable.
• Must multi-task with excellent attention to detail and provide outstanding customer service.
• Requires strong written and verbal communication skills; able to interact with all levels of staff and guests.

Responsibilities

• Answer telephone and email messages; respond accordingly.
• Open and distribute mail.
• Maintain and stay abreast of the latest computer programs/innovations.
• Filing of all pertinent correspondence in a timely manner.
• Type all correspondence pertaining to department; maintain and organize records.
• Prepare Banquet Event Orders (BEOS) as per client needs (Catering Only).
• Assist with daily operations of the Business Center as needed.
• Attend meetings and trainings as required by management.
