Job Description
The Events and Office Coordinator will oversee daily office operations, coordinate events and meetings, support workplace technology, manage vendor relationships, and provide administrative assistance to leadership and internal stakeholders. This role requires strong organizational skills, adaptability, and a customer-service mindset.
Key Responsibilities
- Serve as the primary point of contact for office reception, visitors, phone inquiries, mail, and package distribution.
- Coordinate and host onsite meetings and events, including catering, room setup, audiovisual needs, and attendee support.
- Manage office supplies, equipment, inventory, and facility readiness to ensure efficient daily operations.
- Support employee wellbeing initiatives through coordination of meals, refreshments, and workplace amenities.
- Assist with printing, mailing, and administrative projects.
- Process and track invoices in partnership with the finance team.
- Provide first-level technology support and coordinate issue resolution with third-party IT partners and internal stakeholders.
- Manage workplace technology including conference room systems, displays, internet services, phones, and audiovisual equipment.
- Coordinate vendor relationships and service contracts related to office and technology operations.
- Support executives with scheduling, calendar management, meeting coordination, and special projects.
- Plan and execute offsite meetings, stakeholder gatherings, and company-sponsored events.
- Assist with training and mentoring interns supporting business operations and events.
- Partner with internal teams and community stakeholders to coordinate programs, events, and organizational initiatives.
- Maintain documentation and recommend process improvements to enhance operational efficiency.
Qualifications
- Associate’s degree or Bachelor’s degree.
- 1+ year of experience in office administration, event coordination, executive support, hospitality, operations, or a related field.
- Strong verbal and written communication skills.
- Demonstrated ability to manage multiple priorities in a fast-paced environment.
- Excellent organizational skills and attention to detail.
- Strong customer service and relationship-building abilities.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Ability to troubleshoot basic technology issues and coordinate with external service providers.
- Problem-solving mindset with the ability to anticipate organizational needs.
- Ability to work independently while collaborating effectively across teams.
Preferred
- Bachelor's degree in Business Administration, Communications, Hospitality, Event Management, or a related field.
- Experience supporting executives or senior leadership.
- Event planning and meeting coordination experience.
- Experience working with project management, collaboration, and business applications such as Monday.com, Microsoft Teams, Zoom, Box, NetSuite, Domo, Qualtrics, Expensify, or similar platforms.
- Experience supporting both Windows and Apple environments.
- Professional certifications or specialized training in administrative support, project management, business operations, or related disciplines.
- Experience supervising, mentoring, or coordinating interns or junior team members.
- Demonstrated success identifying process improvements and implementing operational efficiencies.
