A leading university seeks an Event Operations Manager to oversee logistics and support for its School of Visual and Performing Arts events, managing a large student staff and coordinating across university departments. This role offers the opportunity to shape vibrant cultural experiences while ensuring events run smoothly and efficiently.
Under the direction of the Chair of the School of Visual and Performing Arts, the Event Operations Manager is responsible for planning logistics and providing support for all public events in the School, including theatrical productions, concerts, and Gallery events, among others. The Event Operations Manager oversees box office operations, including sales and deposits, and supervises a staff of 50+ student workers, including box office staff, ushers, house managers, stage crew, and A/V workers. The Event Operations Manager is further responsible, in cooperation with faculty leads, for event planning and production, including maintaining the event calendar, making guest artist/performer travel arrangements, supervising the production of concert/event program booklets and online materials, and fulfilling the conditions of guest artists’ contracts’ technical riders. The Event Operations Manager will liaise with various University offices including Facilities, Planning, and Operations (FPO) and Meetings and Conference Services to ensure SVPA events are properly planned, resourced, and carried out.
Please note this position's schedule is event driven, which requires flexibility with hours/days worked. Availability in the evenings and on weekends is required as needed to support the event schedule.
Plan the logistics and supervise the production of all public events in the School of Visual and Performing Arts, including more than 150 concerts, theatrical productions, receptions, and other events per year. For each production, determine, with assistance from faculty leads, what staff, equipment, instruments, furniture, and other materials will need to be in place, on stage and throughout the venue, to ensure event success. Ensure, with assistance from student workers, that these materials are in place and ready for use (e.g. pianos are tuned, digital displays are loaded with the correct information, correct numbers of music stands are chairs are set up correctly). | 25% |
Hire, support, and supervise all event staff (50+ student workers), including House Managers, Box Office Staff, Event Assistants, Stage Crew, and A/V Technicians. Direct the SVPA Box Office, including oversight of cash and credit card sales and deposits. With assistance from student workers, load events onto the box office web sales system, keep the associated website up to date, and deploy provided marketing materials (e.g. event descriptions, media) to drive ticket sales. Deal with patron complaints and resolve patron issues. | 25% |
Maintain event planning calendar and organize details for all events in the School, including supervision of the production of event/concert program booklets, online materials, and other written materials. With assistance from student workers, build event calendar on 25Live and arts websites; link appropriately, by event, to ticketing system. Assist faculty leads with resolving conflicts related to event planning and scheduling. | 25% |
Troubleshoot and solve challenges which arise during and around individual events (e.g. failure of doors to be unlocked, last minute requests, equipment malfunction) independently and with the support of other team members. | 10% |
Enforce policies and procedures related to use of university facilities and maintain the security and safety of the venues for both patrons and event staff, while providing exemplary and professional customer service. | 5% |
Coordinate and liaise with administrative services including but not limited to facilities maintenance, setups, repairs, custodial, and building security as it relates to assigned events. Communicate professionally ahead of time to ensure other offices on campus are informed, aware, and ready to contribute on time, to ensure event success (e.g. to ensure doors are unlocked on schedule, setups delivers the correct number of chairs and stands, catering is ordered on time). | 5% |
