Job summary

Qualifications

• At least four years of progressively responsible experience in event planning, event operations, or event management.
• Experience in live events, professional sports, or entertainment is preferred.
• At least one year of people-management or team-leadership experience.
• Demonstrated experience managing budgets of at least $150,000 USD.
• Bachelors degree or higher in hospitality management, business, marketing, event management, or a related field.
• Proficiency in Microsoft Excel, CRM systems, and project management tools.

Responsibilities

• Ticketing and inventory management: Coordinate tracking, inventory verification, seat assignments, and distribution of tickets.
• Event fulfillment operations: Manage end-to-end fulfillment processes, including Excel reporting, shipping label creation, supplier coordination, quality control, package assembly, and documentation.
• Creative and production coordination: Partner with internal design teams to develop credentials, signage, and event materials.
• Scheduling management: Develop/maintain schedules for guest services, staff assignments, fulfillment operations, transportation, tours, and experiences.
• Vendor and supplier management: Research, negotiate with, contract, and manage vendors providing transportation, staffing, gifts, and other services.
• Event setup: Oversee event setup, vendor coordination, equipment movement, and freight management.
• On-site event execution: Lead/support operational plans for staff training, package distribution and collection, transportation coordination, hospitality registration, tours, and guest experiences.
• Operational problem-solving: Identify challenges and respond to changing conditions.
• Post-event follow-up: Support reconciliation, documentation, expense tracking, and reviews.
