Job summary

Newport Aquarium in Newport, KY is seeking a part-time on-site Event Assistant. You will have flexible scheduling around events, and play a key role supporting event operations and guest experiences.

Responsibilities include pre-event coordination with the Event Service Manager, vendor check-ins, floorplan setup, AV operation, client greetings, and post-event wrap-ups. Required: 18+, strong customer service, time management, teamwork, and MS Office proficiency.

Qualifications

• Must be 18 years old or older.
• Reliable transportation encouraged as it may be needed after events.
• Strong customer service, time management and problem-solving skills.
• Ability to multi-task in a fast-paced environment with attention to detail.
• Must be a team player and helpful where needed.
• Proficient in Microsoft Office (Excel, Word, Outlook).
• Ability to work weekdays, evenings and weekends.

Responsibilities

• Meet with Event Service Manager prior to event to review planner, staff timeline and floorplans.
• Meet third-party vendors on arrival to check-in and assist with setup.
• Ensure vendors follow Newport Aquarium policies and procedures.
• Ensure setups reflect approved floorplans and are ready before event start time.
• Communicate event start and key activities to all parties.
• Act as liaison between client, catering team and exhibits staff.
• Greet client upon arrival and conduct periodic check-ins.
• Operate and troubleshoot Audio-Visual equipment as needed.
• Wrap-up with client at end of event.
• Verify cleanup and exit procedures with vendors.
• Complete kitchen walk-through and sign-off with catering.
• Final walk-through with Event Coordinator and Exhibits Team Lead for next-day readiness.
• Prepare event recap summary for managers.
