Newport Aquarium, part of Herschend Enterprises, seeks an Event Assistant to support evening events on-site in Newport, KY. The role focuses on coordinating vendors, reviewing floorplans, and ensuring smooth execution of each function.

Responsibilities include liaising with clients, catering and staff, plus handling A/V basics and post-event wrap-up. Part-time hours with flexible scheduling offered.

Qualifications

• Must be 18 years old or older.
• Reliable transportation encouraged as schedules may end after events.
• Strong customer service, time management and problem-solving skills are required.
• Ability to multi-task in a fast-paced environment with attention to detail.
• Must be a team player and willing to help where needed.
• Proficient in Microsoft Office (Excel, Word, Outlook).
• Ability to work week days, evenings, and weekends.

Responsibilities

• Meet with Event Service Manager before events to review plans, staff timeline and floorplans.
• Check-in third-party vendors and assist with setup.
• Ensure vendors follow Newport Aquarium policies and procedures.
• Confirm setups reflect approved floorplans and are ready before event start.
• Coordinate event start times and communicate key activities throughout the night.
• Serve as liaison between client, catering team and exhibits staff.
• Greet clients and periodically check in to meet expectations.
• Operate and troubleshoot A/V equipment.
