Requirements include a high school diploma (college coursework preferred) and prior legal administrative experience, particularly in trusts and estates, with strong typing and confidentiality skills.

  • Prepare and finalize wills, trusts, and other legal documents.
  • Assist with time entry, expenses, and billing follow-up.
  • Support new client and matter intake and conflict checks.
  • Organize meeting materials, agendas, and notes.
  • Maintain departmental reports and trackers.
  • Monitor court filings and deadlines for attorneys.

Job description

LHH is partnering with a well-established client in seeking an Estates and Trusts Legal Administrative Assistant to support attorneys and clients within its trusts and estates practice. This position is ideal for a proactive, highly organized professional who can manage competing priorities, produceaccurate work, and provide dependable support in a busy, deadline-driven environment.

Key Responsibilities
  • Provide comprehensive administrative support to attorneys and clients within the trusts and estates practice.
  • Maintain attorney calendars, contacts, appointments, conference calls, and critical deadlines.
  • Coordinate in-person and virtual meetings, including room arrangements, technology, materials, and outside vendors.
  • Prepare, revise, format, proofread, and finalize correspondence, agreements, memoranda, wills, trusts, and other legal documents.
  • Assist with time entry, expense reports, billing review, invoice corrections, and related follow-up.
  • Collaborate with the accounting team to address billing questions and ensure invoices are accurate and timely.
  • Support new client and matter intake, including conflict checks, engagement documentation, and file creation.
  • Organize meeting materials, agendas, presentations, and notes.
  • Maintain departmental reports, trackers, and workflow records.
  • Monitor court filings, practice deadlines, and attorney schedules.
  • Assist with filings in Pennsylvania courts and other applicable jurisdictions.
  • Create and maintain organized electronic and physical client files.
  • Support client development activities, special events, and internal projects as needed.
  • Provide backup assistance to other administrative team members.
Preferred Background
  • High school diploma or equivalent required; college coursework or a degree is preferred.
  • Previous legal administrative experience required.
  • Trusts and estates experience is strongly preferred.
  • Experience with legal documents, billing processes, court filings, and client intake.
  • Strong proficiency with common office, document management, PDF, email, spreadsheet, presentation, and virtual meeting tools.
  • Accurate keyboarding skills of approximately 60 words per minute or more.
  • Pennsylvania Notary Public commission or willingness to obtain one.
  • Excellent proofreading, formatting, transcription, organizational, and time-management skills.
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and the ability to manage multiple deadlines.
  • Professional communication and client service skills.
  • Ability to work independently while contributing to a collaborative team.
  • Comfortable learning new systems and adapting to changing priorities.
  • Proactive, dependable, and committed to producing accurate, high-quality work.

Anticipated salary range: $60K to $80K
