The position involves processing invoices, coordinating equipment transfers, assisting HR with onboarding, and ensuring proper documentation and timekeeping. Strong MS Office and SharePoint skills are essential.

Qualifications

  • Two years in an administrative or customer service environment.
  • Proficient with Microsoft Office and SharePoint.
  • Strong organizational and interpersonal skills.
  • Excellent oral and written communication skills.
  • Must be able to lift up to 40 pounds occasionally.

Responsibilities

  • Effectively communicate job site issues to project team.
  • Process invoices.
  • Route documents and correspondence internally and externally.
  • Coordinate equipment transfers and maintain transfer records.
  • Assist HR with onboarding of new hires.
  • Prepare field purchase orders.
  • Monitor communications systems and arrange repairs when needed.
  • Maintain document control and upload files to SharePoint.
  • Order office and safety supplies for the office.
  • Assist with safety program documentation as needed.
  • Create and assist employees with expense reports.
  • Maintain Certificate of Insurance records from vendors and subs.
  • Maintain all employee and equipment time in Heavy Job.

Job description

The Equipment Administrator serves as the administrative coordinator for the Equipment Department. Prepares andsubmitreports to thecorporateoffice asrequired, performs necessary logistical and financial tasks, distributesdocumentsand manages files,monitorsthe communications systems, and does all other tasks asdeemednecessary by the Equipment Manager.

Job Description
  • Effectively communicate job site issues to project team

  • Communicate between all parties involved in equipment transfers, andmaintainthe equipment transferrecords
  • Assist HR withon-boardingof newhires
  • Prepare field purchaseorders
  • Maintain surveillance on the communications systems in use at the facility and in the field, noting deficiencies, and arranging for repairs whennecessary
  • Maintain document control, to include filing and uploading toSharePoint
  • Order all necessary office and safety supplies for theoffice
  • Assistwith the safety program byassistingin the preparation of First Reports of Injury reports and other safety documentation asneeded
  • Create andassistemployees with expensereports
  • KeepaccurateCertificate of Insurance records from Vendors and Subcontractors
  • Maintain all employee and equipment time in Heavy Job
Job Requirements
  • High School Graduate, preferably anAssociate’s Degreeor equivalent.
  • At least two years in an administrative or customer service environment.
  • Must be able to use all Microsoft Office software and SharePointproficiently
  • Excellent organizational skills
  • Excellent interpersonal skills
  • Excellent oral and written communication skillsMaintain the confidentiality of all documentation,informationandprocesses
  • Must be able tolift upto forty pounds on an occasionalbasis
