Job summary

State-of-West-Virgini prepares, sorts, and distributes drinking water violation letters by mail and electronically. The role includes collecting letters from compliance staff, reviewing for clerical accuracy, sorting by county for emailing to health officials, and maintaining filing systems on the office server.

Additional duties include processing Administrative Orders (AO), obtaining signatures, scanning and filing, and using the drinking water database to generate reports and support

Qualifications

• Four (4) years of full-time or equivalent part-time paid experience in paraprofessional or clerical office support work related to the specialty area.
• Any combination of experience as described above and successful completion of coursework from an accredited college or university may substitute for the required experience at a rate of thirty (30) semester hours for every one (1) year of the required experience.

Responsibilities

• Prepare, sort, and distribute by mail, drinking water compliance violation letters.
• Collect printed violation letters from compliance staff, review, sort and envelope for mailing.
• Collect digital copies of violation letters and sort by county to email to state health officials and district staff.
• Maintain physical and electronic filing system to ensure all reports and correspondence are properly filed on the office server.
• Review staff documents for clerical errors and formatting problems and notify staff of corrections.
• Process Administrative Order (AO) paperwork, obtain director signature, scan and file, and mail AO documents to water systems and officials.
• Use state drinking water database to generate and review technical reports and evaluate data to guide priorities.
