Environmental Administrative Coordinator responsibilities are to supervise financial and clerical activities of the Environmental Management Program. Administers the accounting functions of multiple grants and contracts of the environmental program. Verifies financial transactions to ensure records are consistent with funding agency guidelines of federal, state, and tribal audit requirements. Coordinates with environmental staff and program manager to develop travel authorizations, audits, property inventory, record keeping, and data management. Performs oversight of program accounts in D365 including maintaining updated cuff accounts and managing account budgets per fiscal year. Works closely with the finance department.
Examples of Work Performed:
- Maintains accurate and updated financial accounting system.
- Supervises all program bookkeeping and accounting procedures as well as personnel actions, travel authorizations, leave request, iSolve time keeping, leave audits, property and inventory and other program administrative functions.
- Develops and implements procedures for reporting directly to agencies regarding financial status reports and is responsible for timely financial reporting for all grants and contracts to ensure compliance.
- Works with environmental staff to develop budget and grant proposals to obtain program funding from various federal, state and tribal entities.
- Prepares grants and contracts, including back-up documents, budget cover memos and letters, and committee actions for signatures.
- Assists the Program Manager and staff in setting goals and objectives, projecting budgets and developing general strategies for meeting the goals.
- Process the financial reports, committee actions and other documents through the agency.
- Abide by the Yakama Nation rules and regulations.
Knowledge, Skills and Abilities:
- Knowledge of tribal administrative procedure forms for the Finance Department.
- Knowledge of bookkeeping and accounting procedures.
- Knowledge of D365 or willing to learn.
- Knowledge of tribal policies and procedures.
- Ability to make budget plans and projections.
- Ability to organize, prioritize and complete work assignments to meet designated deadlines for programmatic operations and individual accounts.
- Ability to prepare, implement and interpret the tribal financial system.
- Ability to communicate and establish good working relationships with tribal staff and the general public.
- Ability to communicate both orally and in writing.
Minimum Requirements:
- Bachelor's Degree in Business Administration OR at least five years of professional experience as a Program Coordinator, Bookkeeper V or related field.
- Required to pass a pre-employment drug test.
- Must possess a valid Washington State Driver's License with the ability to obtain a Tribal Driver Permit with Defensive Driving Course certificate (to be updated every 2 years).
