Job summary

Yakama Nation’s Nak Nu We Sha Kinship program seeks an Administrative Assistant to perform technical administrative support and confidential record-keeping. You will manage electronic records, prepare casework files, and assist staff with document preparation and archiving.

Qualifications

Administrative Assistant

Nak Nu We Sha

Hourly Wage: $15.74-$17.72/Regular/Full-Time

Administrative Assistant performs a variety of technical administrative office support work for the Yakama Nation Nak Nu We Sha (NNWS)/Kinship program. Responsible to set up and initiate extensive electronic confidential record management system for NNWS files/Kinship Files. Follow programs procedures and guideline in the disposition of confidential files. Works with all staff to ensure accurate preparation of documents. Administrative Assistant answers directs or forward general phone inquiries using a professional and courteous manner. Replies to general information requests with accurate information. Greets visitors to organization in a professional and friendly manner. Ensures the efficient day-to-day operation of the office by providing clerical office support with processing and organizing work flow. Provide assistance with preparing casework document and client files. Supports the work of supervisor/management and other staff. The Administrative Assistant may be required to work some overtime hours if necessary.

Knowledge, Skills and Abilities:
  • Knowledge of Yakama tribal Culture and Traditions.
  • Knowledge and understanding of Privacy Act requirements.
  • Knowledge of principles and practices of English grammar, punctuation and spelling.
  • Knowledge of filing principles and procedures; file information alphabetically, numerically and chronologically.
  • Knowledge of Indian Child Welfare Act.
  • Knowledge of Washington State Department of children, Youth & Family Services.
  • Knowledge of Yakama Nation Personnel Policy Manual, Finance Manual and Purchasing Manual.
  • Knowledge of general administrative policies, procedures and practices of the Yakama Nation and federal government, including some record keeping.
  • Ability to demonstrate computer literacy in using standard office equipment and business software.
  • Ability to communicate effectively both orally and in writing.
  • Ability to apply extensive or obscure guidelines to a wide variety of work situations.
  • Ability to establish and maintain effective working relationships with the public, clientele, and/or tribal and state agencies.
  • Ability to establish and maintain effective working relationships with management, staff, clientele and/or tribal and state agencies to ensure a positive business environment.
  • Ability to use Isolved for processing timekeeping and bookkeeping.
  • Ability to establish and maintain effective working relationship with other department staff, supervisors/managers, elected officials and the general public.
  • Ability to work in financial software system and data base management system.
  • Ability to demonstrate dependable work attendance.
  • Ability to work independently and productively with minimal supervision.
  • Ability to multi-task and prioritize work assignments to meet daily needs of program.
  • Ability to conduct research and provide assistance in preparation for program events relative to the mission of program.
Minimum Requirements:
  • High School Diploma or GED.
  • Two years work experience as an Office Assistant V or Bookkeeper III.
  • Required to pass pre-employment drug test.
  • Required to pass pre-employment criminal background check.
  • Must maintain strict confidentiality.
  • Must have Notary license or ability to obtain within 30 days of hire.
  • Must possess a valid Washington State Driver's License with the ability to obtain a Yakama Nation Driving permit.
  • Must possess a valid First Aid/CPR card or ability to obtain one within 6 months of hire.
