Qualifications

  • High school diploma or equivalent.
  • Minimum 3 years office experience.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite, specifically Outlook, Excel and Powerpoint.
  • Proficient with Adobe Pro to create, modify pdf’s and create forms.

Responsibilities

  • Provide excellent customer service to internal and external customers.
  • Manage calendars, schedule appointments, and coordinate meeting logistics.
  • Process invoices; track, verify, reconcile, and report expenses.
  • Establish new vendors in partnership with Corporate Purchasing, Credit, and Fuels departments.
  • Manage supply orders, including office, warehouse, cleaning, and Environmental Team supplies.
  • Create, manage, and complete purchase orders; track accruals as required.
  • Respond to requests from Environmental Team members and provide administrative support.
  • Respond to customer inquiries and leads; prepare quotes and provide information on services, pricing, and scheduling availability.
  • Coordinate and schedule environmental services between customers, drivers, and the Environmental Team.
  • Serve as the liaison between customers, drivers, and the Environmental Team to ensure effective communication and service delivery.
  • Manage inbound and outbound customer communications, including appointment confirmations, ETA updates, and service changes.
  • Collaborate with drivers to schedule pickup orders and address operational questions.
  • Prepare meeting agendas, presentations, reports, and other supporting documentation.
  • Maintain, organize, copy, sort, and file records and documentation in both electronic and manual filing systems.
  • Coordinate with the Safety Team to schedule training, monitor compliance requirements, and track recertifications.
  • Remain available for on-call support outside normal working hours, as needed.
  • Perform other duties as assigned in support of evolving business priorities and cross-functional initiatives.

What We Are Looking For

The primary function of the Environmental Administrative Coordinator is to perform a variety of administrative duties to support the efficient operation of the Environmental division, while providing excellent customer service to both internal and external customers.

What You Will Do
