Job summary

atiexternal is seeking a Project Coordinator to provide complex administrative support to the project team under the Office Manager. The role oversees project stages from inception to completion, including data input, tracking milestones, and document management for program estimates.

You will intake leads, assign projects, schedule inspections, and keep multiple platforms updated to meet timelines. Experience in Salesforce and a construction setting is valued.

Qualifications

• High School Diploma or equivalent required.
• Minimum of 1 year of experience in a coordinator or administrative role.
• Construction industry experience preferred.
• Experience with Salesforce reports is a plus.

Responsibilities

• Intake new leads and jobs, entering all information across platforms to maintain a single data source.
• Under the Office Manager's guidance, assign projects to Project Directors to ensure proper workflow.
• Schedule initial inspections during the initial phone call to ensure parameters are met.
• Update platforms (XactAnalysis, Symbility, AlacNet) to meet program timelines.
• Upload work authorizations and insurance documents to facilitate funds release.
• Assist with mortgage authorizations, coordinate inspections, and manage check endorsements.
• Monitor JobTrack to ensure assignments are compliant and input milestones.
• Review daily reports and dashboards to maintain compliance and resolve disputes.
• Review completed project files for invoicing and ensure estimates and close-out documents are accurate.
