Qualifications

• Bachelor's or advanced degree in business, finance, accounting, public administration, health administration, information systems, communications, or related field.
• Experience using Microsoft Outlook, Excel, Word, and shared electronic records or databases.
• Demonstrated experience managing detailed tasks, written communications, or administrative workflows with accuracy and timely follow-through.
• Billing, invoicing, accounts receivable, vendor onboarding, contract administration, or professional‑services operations preferred.
• Experience managing a shared inbox, ticket queue, CRM, or high‑volume request channel.
• Experience improving processes, documenting workflows, creating templates, or analyzing operational data.
• Familiarity with university, healthcare, research, technology transfer, or consulting environments.
• Exceptional written communication and customer‑service skills; strong organizational and analytical abilities.

Responsibilities

• Monitor and organize the CUI Consulting Billing inbox during assigned hours using established procedures and templates.
• Review submissions from faculty, providers, and admins reporting hours; verify required billing information.
• Prepare, coordinate, or route billing requests and maintain clear records of status and next steps.
• Respond to routine invoicing questions using approved templates and guidance.
• Coordinate routine vendor setup communications with third‑party organizations and escalate when needed.
• Maintain accurate records across contracting and invoicing databases; validate key fields.
• Develop desk procedures, response templates, tracking tools, and FAQs to support consistency.
• Analyze recurring questions, delays, data quality issues; implement practical process improvements.
• Prepare basic activity summaries and operational metrics such as inquiry volume and aging items.
