Job summary

Northwestern Medicine seeks an Employee Programs Coordinator to support non-benefited internal programs and events across the system. Under the Employee Experience Program Director, you will coordinate the Day One orientation and manage intranet content, procurement, and vendor relationships to optimize employee engagement.

You will communicate with leadership, maintain documentation, and provide administrative support while collaborating with HRIS teams and stakeholders across the network.

Qualifications

• Bachelor's degree required.
• 3-5 years of business experience.
• Advanced knowledge of Microsoft Office (Outlook, Word, PowerPoint, Excel).
• Experience in purchase orders and invoice processing.
• Excellent organizational, communication and interpersonal skills.
• Able to manage multiple projects and events concurrently.
• Strong time management and customer service skills.
• Project management knowledge and experience.
• Strong initiative and attention to detail.
• Thinks creatively and works as a collaborative team member.

Responsibilities

• Assist in operation of internal programs, events, and activities for employees, physicians, and volunteers.
• Coordinate system-wide new hire orientation events (Day One) held downtown about every two weeks.
• Maintain guidelines, processes, and procedures for employee programs and events.
• Manage inquiries in Service Now and train the MyNM Service Center team; escalate trends to leadership.
• Design and improve intranet pages and vendor sites to communicate with the workforce.
• Run reports with HRIS/vendor IT teams and support improvement projects.
• Assist with budget development and monitor variances; handle purchase orders and invoices.
• Develop relationships with external vendors and coordinate event logistics.
