Job summary

Shield AI is seeking a Senior Recruiting Coordinator – EMEA to own complex interview scheduling, candidate travel coordination, and recruiting operations across EMEA. This role partners with recruiters, hiring managers, executives, and cross-functional teams to ensure a seamless hiring process.

The ideal candidate will manage high-volume, multi-country schedules, coordinate domestic and international travel, and maintain data accuracy in ATS.

Qualifications

• 5+ years of experience in recruiting coordination, Talent Acquisition operations, HR/PX operations, or related role; experience managing complex recruiting logistics.
• Experience coordinating high-volume, multi-country interview schedules across time zones and seniority levels.
• Experience coordinating domestic and international candidate travel, including flights, accommodations, and itineraries.
• Strong working knowledge of ATS, scheduling tools, and standard productivity platforms.
• Ability to prioritize, anticipate issues, and resolve scheduling challenges with professionalism.
• Excellent written and verbal communication across diverse stakeholders.

Responsibilities

• Independently manage high-volume interview scheduling across multiple countries and time zones.
• Coordinate calendars involving candidates, interview panels, hiring managers, executives, and key stakeholders.
• Arrange virtual and in-person interviews, including multi-stage processes.
• Prepare interview materials and confirmations; manage last-minute changes with urgency and discretion.
• Maintain accurate interview data in ATS and recruiting systems.
• Coordinate domestic and international candidate travel and detailed itineraries.
• Provide high-touch candidate experience and clear communication across regions and time zones.
• Support recruiting operations, reporting, and process improvements across the TA team.
