Job summary

Highgate Hotels is seeking an Event Coordinator for E11EVEN Club Hotel & Residences in Miami. The role supports the Sales department by coordinating group meetings and events from inquiry to execution, serving as client liaison and ensuring flawless event delivery.

The ideal candidate has a hospitality or business background with 1–2 years in hotel/events, strong organization, and excellent communication. Flexible schedule including evenings and weekends is required.

Qualifications

• Bachelor's degree preferred in Hospitality Management, Business Admin, or related field.
• 1–2 years experience in hotel/restaurant events, catering, or sales support.
• Strong attention to detail and organizational skills.
• Excellent interpersonal and communication abilities with customers.
• Problem-solving under live event conditions; calm demeanor.
• Familiarity with CRM or sales and catering software preferred.
• Ability to work independently and as part of a team; flexible schedule.

Responsibilities

• Coordinate and service group meetings and events from booking to execution.
• Serve as main client contact, prepare event docs and communicate with hotel departments.
• Assist with inquiries, proposals, and outreach by sales team.
• Prepare group resumes, BEOs, and ensure accurate billing and setup.
• Support food and beverage planning, including menus and AV requirements.
• Enter and maintain client information and reports in system.
• Attend daily/weekly/monthly meetings as directed.
• Respond to event inquiries and qualify leads; route to proper managers.
• Support in proposals, contracts, deposits, and payments.
