Job summary

Highgate Hotels in Miami seeks an Event Coordinator to support the Sales department for group meetings and events from booking to execution. Working under the Director of Catering & Conference Services, you will be a key client contact, prepare event docs, and ensure top standards in execution.

You will also assist the sales team with inquiries, proposals, and outreach efforts, coordinating deposits and payments per contract terms. A strong hospitality background and flexibility are essential.

Qualifications

• Bachelor’s degree in Hospitality Management, Business Administration, or related field.
• 1–2 years of experience in hotel or restaurant events, catering, or sales support.
• Strong attention to detail and organizational skills.
• Strong interpersonal and communication skills, with a customer-focused attitude.
• Problem-solving skills and the ability to remain calm during live events.
• Familiarity with CRM or sales and catering software preferred.
• Ability to work independently and as part of a team.
• Flexible schedule, including evenings, weekends, and holidays, based on event needs.

Responsibilities

• Understand and respond to client and guest needs in a timely, professional manner.
• Serve as liaison between hotel and meeting planners to ensure successful events; manage room blocks, billing, and on-site logistics.
• Prepare group resumes and BEOs with agendas, AV, VIPs, and billing details.
• Assist clients in planning food & beverage events, including menu selection and decorations.
• Enter and maintain client information, bookings, and reports in the sales/catering system.
• Attend daily, weekly, and monthly meetings as directed.
• Support sales outreach, including mailers, emails, and local trade shows.
