Job summary

Warner Music Group, through WMX, seeks an Ecommerce, Creative & Production Assistant to support the SVP, Global Ecommerce and VP Creative Director. You will manage calendars, coordinate client and vendor meetings, plan events, and maintain our showroom and studio spaces with a fast-paced, collaborative approach.

You bring 3+ years of assistant experience, superb organization, and a passion for music and fashion. In-office presence is required four days a week.

Responsibilities

  • Manage extremely active calendars and schedules for leadership.
  • Coordinate internal design sessions, cross-functional check-ins, and meetings with external clients and managers.
  • Plan, organize, and execute internal events and workshops for the creative department.
  • Oversee the physical studio space and showroom setup and upkeep.
  • Serve as the primary communication bridge for internal teams and external vendors.
  • Assist with digital asset management and distribution of assets and approvals.
  • Arrange complex travel plans and accommodations for production site visits.
  • Process and track expense reports, invoices and basic vendor paperwork.

Job Title: Ecommerce, Creative & Production, Assistant

A little bit about our team: WMX, Warner Music Group's culture-driving merchandise, creative content, and artist services division, is a global full-service team that offers creative direction, production services, and support for WMG licensed artists and labels.

As the Retail Art Director, you will step into a brand-new, highly strategic role designed to grow and develop our retail business strategy as a whole. You will act as the vital creative bridge on our team, working directly with our Creative Directors to align on artistic vision, while collaborating hand-in-hand with our Retail Sales team to build bespoke presentations for global retail partners. Your work will directly impact how our entire artist roster breaks into major retail spaces, transforming creative concepts into massive commercial realities.

Your role

As the Assistant to the SVP, Global Ecommerce, SVP, Production & VP Creative Director, you’ll be the connecting force keeping our leadership, clients, and physical studio space perfectly on track. You’ll split your time managing calendars, coordinating client meetings and design sessions, planning team events, and maintaining our physical showroom. This role is fast-paced, highly collaborative, and deeply plugged into music, design, and commerce.

  • You will manage extremely active, fluid calendars and personal meeting schedules for leadership, prioritizing time-sensitive requests and anticipating conflicts.
  • You will coordinate and schedule internal design sessions, cross-functional team check-ins, and vital meetings with external clients and artist managers.
  • You will plan, organize, and execute internal events, team-building activities, and collaborative workshops for the broader creative department.
  • You will oversee, organize, and maintain the aesthetic and functional setup of our physical creative studio space and artist merchandise showroom.
  • You will serve as the primary administrative point of contact and communication bridge for all internal teams, design studios, and external production vendors.
  • You will assist with digital asset management, including retrieving, organizing, and distributing art files, tech packs, and approvals to keep workflows scalable.
  • You will handle sample management, tracking physical apparel and product prototypes from the factory floors straight to the showroom and design tables.
  • You will arrange complex travel plans, detailed itineraries, and accommodations for production site visits or industry events.
  • You will process and track expense reports, invoices, and basic vendor paperwork in a timely manner.
About you

You have a minimum of 3 years of experience as an assistant or high-level coordinator supporting senior leadership, preferably within a creative agency, fashion brand, production house, or music environment. You have exceptional organizational and time-management skills, with a proven ability to multitask, protect executives' time, and maintain a pristine physical environment like a showroom or studio space. You have flawless written and verbal communication skills, with a professional, approachable, and trustworthy demeanor when dealing with high-profile clients, vendors, and stakeholders. You enjoy working in a highly collaborative, hands-on environment and are equally excited about the art of creative storytelling and the puzzle of physical production execution. You are passionate about music, merchandise, and pop culture, and you possess a strong desire to keep the team's operations organized so we can scale our business.

You’d love it if you also had:
  • You have proficiency in digital workspace and project management tools like Google Workspace, Airtable, Excel, Asana, or Monday.com
  • You have a basic understanding of apparel production specifications, tech packs, or retail manufacturing workflows.
  • You have experience formatting visual presentations or pitch decks using Keynote, PowerPoint, or Google Slides.

Salary Range: $26.00 to $35.00 Hourly Salary ranges are included for job postings where required by law. The actual base pay is dependent upon many factors, such as work experience and business needs. The pay range is subject to change at any time dependent on a variety of internal and external factors.
