Sheppard, Mullin, Richter & Hampton, a global Am Law 50 firm, has an immediate opening for a detail-oriented, self-motivated professional to join our Billing Department as an E-Billing Coordinator. This is an excellent opportunity for an experienced e-biller who wants to grow a long-term career in legal billing operations at a firm that invests in its people and its technology.


You will work across a diverse portfolio of clients and vendor platforms, own the full e-billing lifecycle for your matters, and partner daily with attorneys, billing coordinators, and client-side accounting teams. If you take pride in getting invoices out cleanly, chasing rejections to root cause, and building strong working relationships across the firm and its clients, this role is built for you.


We are considering candidates in the following of our U.S. offices including Century City, Chicago, Dallas, Houston, Los Angeles, Orange County, San Diego (Del Mar), San Diego (Downtown), San Francisco, and Silicon Valley. There is only one opening.


Job Summary

The E-Billing Coordinator is a key member of the E-Billing Team and owns the day-to-day electronic billing workflow for a portfolio of clients across multiple vendor platforms. The role covers the full lifecycle: matter and timekeeper setup, invoice preparation and submission, rejection and appeal resolution, payment tracking, and reporting.


The ideal candidate is an independent self-starter with sharp critical thinking, strong written and verbal communication, and a genuine interest in the craft of e-billing. Success in this role calls for precision, follow-through, and the confidence to navigate complex client requirements with professionalism.


Essential Functions


  • Prepare, submit, and monitor electronic invoices across multiple e-billing vendor platforms.

  • Set up matters, timekeepers, rates, and budgets in Aderant and vendor portals.

  • Generate and validate LEDES files (1998B, 1998BI, XML) to meet client specifications.

  • Resolve rejections and appeals with clear, professional communication.

  • Maintain tracking spreadsheets and reporting on billing activity, submissions, and outstanding balances.


Required Qualifications


  • Minimum three years of e-billing experience in a mid- to large-size law firm, with hands-on proficiency across multiple e-billing vendor platforms (Legal Tracker, CounselLink, Collaborati, TyMetrix 360, Passport, Legal-X, and comparable).

  • Working knowledge of Aderant or Elite billing systems.

  • Strong understanding of LEDES formats including LEDES 1998B, 1998BI, and XML, and of UTBMS task and activity codes.

  • Ability to troubleshoot coding, formatting, and technical issues related to LEDES files and e-billing vendor platforms.

  • Strong critical thinking and analytical skills, with the ability to independently assess complex billing scenarios and determine appropriate courses of action.

  • Excellent written and verbal communication skills, with the ability to correspond professionally with attorneys, clients, and internal stakeholders at all levels.

  • Strong organizational skills and the ability to manage competing priorities, follow through on open items, and meet deadlines consistently.

  • Professional, service-oriented mindset with a genuine commitment to quality and responsiveness.

  • Demonstrated ability to work both independently and collaboratively within a team environment.

  • Intellectual curiosity and a proactive approach to learning new systems, processes, and best practices.


Preferred Qualifications


  • Experience with BillBlast or eBillingHub.

  • Familiarity with insurance-related e-billing requirements.

  • Working proficiency with AI tools and emerging technologies applied to billing operations.

Preferred: Bachelor's Degree


Computer/Software Knowledge


  • Working proficiency with Aderant or Elite billing systems.

  • Hands-on proficiency across multiple e-billing vendor platforms.

  • Advanced Microsoft Excel, including VLOOKUP/XLOOKUP, pivot tables, formulas, data validation, conditional formatting, and report reconciliation.

  • Intermediate to advanced proficiency with Microsoft Outlook and Word.

  • Advanced typing skills (60+ WPM)


Preferred


  • Experience with BillBlast or eBillingHub

  • Experience with NetDocs

  • Familiarity with AI tools applied to billing operations


Work Environment


  • This position operates in a professional indoor office environment.

  • You will be based in one of our local Sheppard Mullin offices with the flexibility to work from home, and you are required to come into the office on an as-needed basis.

  • After-hours and weekend work may be required on occasion based on workload and billing cycle demands.


Travel Requirements


  • Minimal travel may be required for training or department or firm meetings.


California: The salary range for this position is $31.00 - $44.00 per hour.


Illinois: The salary range for this position is: $33.00 - $47.00 per hour. This position is eligible for bonuses. This position is also eligible for medical, vision, and dental insurance. Please note that the foregoing compensation and benefit information is a good-faith assessment associated with this position only and is provided pursuant to Illinois Equal Pay Act.
