Job summary

St. Mary's Food Bank in Arizona is seeking a Donor Stewardship Coordinator to support Food Resourcing and donor relations, manage donor records, and coordinate gift offers and pickups.

You will communicate with donors, prepare reports, and help maintain food donation guidelines, ensuring accuracy and compliance across departments. The role requires a bachelor’s degree or equivalent, strong communication, and nonprofit operations experience; bilingual English/Spanish is a plus.

Qualifications

• Bachelor’s degree or equivalent combination of education and relevant experience.
• Experience in customer service, donor relations, nonprofit operations or related field.
• Strong written and verbal communication skills.
• Strong organizational skills with ability to manage multiple priorities and deadlines.
• Proficiency with Microsoft Office, Excel and database systems, familiarity with MailChimp or other email marketing platforms.
• Ability to maintain accurate records and work across departments.
• Basic knowledge of food safety and donation practices; ability to learn guidelines.

Responsibilities

• Respond to donor calls, emails, donation offers and requests; provide timely follow-up and problem resolution.
• Screen and coordinate donation offers and schedule pickups with Transportation.
• Maintain daily donation schedules and communicate changes to Transportation and other teams.
• Audit donor records, contacts, activity and documentation for accuracy; resolve discrepancies.
• Identify and implement improvements to donor and department processes.
• Manage an assigned portfolio of food donors and maintain regular communication.
• Track and audit donor interactions, visits and stewardship activities for timely follow-up.
• Coordinate donor thank-you, recognition and appreciation efforts.
• Develop and distribute donor communications, including newsletters and updates.
• Support donor impact reports and engagement materials.
• Assist with new donor onboarding and maintain donor information.
• Prepare routine reports related to donations, donor activity and pickups.
• Monitor data for accuracy and identify trends or gaps.
• Serve as liaison among donors, Transportation, Warehouse, Allocations and other departments.
• Support special projects and donor events as needed.
• Apply basic food safety knowledge when evaluating donation offers and questions.
