The Food Donor Stewardship Coordinator at St. Mary's Food Bank provides day-to-day operational and administrative support for Food Resourcing while helping maintain strong, consistent relationships with food donors. Serves as a primary contact for donor inquiries, donation offers, scheduling and follow-up; coordinates donation pickups with Transportation; maintains accurate donor records and reporting; and supports donor communications, recognition and stewardship activities.
Essential Functions
Donor Operations
- Respond to donor calls, emails, donation offers and requests; provide timely follow-up and problem resolution.
- Screen and coordinate donation offers and schedule pickups with Transportation.
- Maintain daily donation schedules and communicate changes or issues to Transportation and other operational teams.
- Audit donor records, contacts, activity and documentation in NetSuite and other department systems for accuracy and completeness; identify and resolve discrepancies as needed.
- Identify and implement improvements to donor and department processes.
Donor Stewardship
- Manage an assigned portfolio of food donors and maintain regular, meaningful communication.
- Track and audit donor interactions, visits, recognition and other stewardship activities to ensure timely and consistent follow-up.
- Coordinate donor thank-you, recognition and appreciation efforts.
- Develop and distribute donor communications, including the donor e-newsletter and periodic updates.
- Support donor impact reports, recognition materials and other stewardship communications.
- Assist with new donor onboarding and maintain current donor information and engagement history.
Reporting & Department Support
- Prepare routine daily, weekly, monthly and quarterly reports related to donations, donor activity, pickups and special programs.
- Monitor data for accuracy and identify trends, gaps or follow-up needs.
- Serve as an information resource and liaison among donors, Transportation, Warehouse, Allocations, Food Resourcing and other departments.
- Support special projects, donor events, communications and other Food Resourcing initiatives as needed.
Food Safety & Donation Guidelines
- Apply basic knowledge of food safety, food handling and temperature control when evaluating food donation offers and responding to donor questions.
- Ask appropriate questions to determine whether offered food can be safely and appropriately accepted and elevate questions or concerns when needed.
- Maintain and periodically update St. Mary's food donation guidelines to reflect current food safety requirements, organizational practices and operational needs.
- Communicate food donation requirements and guidelines clearly to donors and prospective donors.
Performs all functions according to established policies, procedures, regulatory and accreditation requirements, as well as applicable professional standards. Provides all internal/external customers of St. Mary's Food Bank with an excellent service experience.
Scope and Complexity
May interact with all levels of leadership, employees, agency representatives, community neighbors, volunteers, external vendors, and clients.
Physical Demands/Environment
- Requires extensive sitting with periodic standing and walking.
- May be required to lift up to 30 pounds.
- Requires significant use of personal computer, phone and general office equipment.
- Needs adequate visual acuity, ability to grasp and handle objects.
- Needs ability to communicate effectively through reading, writing, and speaking in person or on telephone.
- May require off-site travel
Minimum Qualifications
- Bachelor’s degree or equivalent combination of education and relevant experience.
- Experience in customer service, donor relations, nonprofit operations, administrative support or a related field.
- Strong written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Proficiency with Microsoft Office, Excel and database systems, familiarity with MailChimp or other email marketing platforms.
- Ability to maintain accurate records, exercise good judgment and work effectively across departments.
- Basic knowledge of food safety, food handling, temperature control and food donation practices; ability to learn and apply St. Mary's food donation guidelines.

Preferred Qualifications
- Bi-lingual in English and Spanish preferred.
- Previous food distribution and non-profit work experience
