Job summary

Virginia Museum of Contemporary Art (Virginia MOCA) in Virginia Beach, VA is seeking a Database and Grants Coordinator. You will manage the donor and membership CRM, support grant administration, and coordinate data across the Development department.

The role requires attention to detail, strong organization, and collaboration with Finance, Marketing, and program staff to ensure accurate reporting and successful grant deliverables.

Qualifications

• 2–4 years of experience in database management, nonprofit operations, or grants coordination.
• Experience with a CRM or database system; NEON preferred.
• Strong Excel and data reporting abilities.
• Familiarity with Mailchimp, QuickBooks, or similar systems preferred.
• Excellent attention to detail and organizational skills.
• Strong written and verbal communication; able to collaborate across departments.

Responsibilities

• Maintain donor, membership, and constituent records in the CRM; ensure data quality and accurate reporting.
• Set up and coordinate events, memberships, classes, and programs in the CRM.
• Maintain CRM integrations with systems like Eventbrite, Mailchimp, and QuickBooks.
• Reconcile CRM gift/revenue records with accounting in QuickBooks.
• Coordinate with Development leadership and grant writer on applications, deadlines, and reporting.
• Track grants calendar, gather data for proposals and reports, and maintain files.
