Atrium Staffing LLC is seeking a Detail-Oriented Document Scanning Project Specialist in Salt Lake City to support a digitisation initiative. You will prepare physical records, operate high‑volume scanners, index files, and ensure accurate digital conversion with strict data privacy.

The role requires organizational skills, the ability to handle confidential information, and stamina for repetitive tasks. Lifting up to 50 pounds and extended sitting/standing are expected.

Qualifications

  • High School Diploma or GED required.
  • Experience with document scanning or records management preferred.
  • Proficiency in Microsoft Office and/or Google Workspace.

Responsibilities

  • Prepare documents for scanning, removing staples and repairing pages as needed.
  • Organise files into proper batch order for digitisation.
  • Operate high-volume scanning equipment and capture software.
  • Index and classify scanned documents using file naming conventions and metadata.
  • Perform quality checks on images for clarity, completeness and orientation.
  • Re-scan documents to meet quality requirements when needed.
  • Upload digital files to document management system and ensure proper storage.
  • Return physical documents to designated archives following protocols.
  • Maintain data privacy and confidentiality in handling sensitive information.
  • Perform basic scanner maintenance and report issues.

Client Overview:

Our client is a manufacturing organization focused on quality control and process verification. They are undertaking a critical records digitisation initiative to convert paper documentation into a secure digital filing system and are seeking detail-oriented Document Scanning Project Specialist to support this.

Salary/Hourly Rate:

$25/hr - $27/hr

Position Overview:

The Document Scanning Project Specialist will support a project focused on converting physical records into high-quality digital files. The Document Scanning Project Specialist is responsible for document preparation, scanning, indexing, quality control, and secure handling of sensitive information while ensuring accuracy and data integrity throughout the digitisation process.

Responsibilities of the Document Scanning Project Specialist:
  • Prepare documents for scanning by removing staples, paper clips, sticky notes, and repairing damaged pages as needed.
  • Organise files into proper batch order and ensure documents are ready for digitisation.
  • Operate high-volume scanning equipment and document capture software to create clear digital records.
  • Index and classify scanned documents using established file naming conventions and metadata standards.
  • Perform quality checks to verify image clarity, completeness, orientation, and accuracy.
  • Re-scan documents when necessary to meet quality requirements.
  • Upload digital files into the document management system and ensure proper routing and storage.
  • Reassemble and return physical documents to designated archive locations.
  • Follow company protocols and regulatory requirements regarding data privacy and confidentiality.
  • Perform basic scanner maintenance and report equipment issues as needed.
Required Experience/Skills for the Document Scanning Project Specialist:
  • Prior experience in document scanning, data entry, administrative support, records management, or a related function.
  • Proficiency with Microsoft Office and/or Google Workspace.
  • Strong attention to detail and organisational skills.
  • Ability to maintain accuracy while performing repetitive tasks.
  • Commitment to handling confidential and sensitive information appropriately.
  • Ability to lift up to 50 pounds.
  • Ability to sit or stand for extended periods and perform repetitive manual tasks.
Preferred Experience/Skills for the Document Scanning Project Specialist:
  • Experience with document capture and scanning software such as Adobe Acrobat, Kofax, or Fujitsu PaperStream.
  • Previous experience working in a manufacturing, quality, compliance, or records management environment.
  • Familiarity with document retention and digital filing systems.
Education Requirements:
  • High School Diploma or GED required; or equivalent.
