Job summary

Access Sciences Corporation is seeking an experienced Document Controller in the Chandler, AZ area. You will work with a team to implement and manage document control standards and oversee document turnover for projects.

You will interact with contractors, project teams, and project managers to control, distribute, maintain, and retrieve documents. The role requires 1 week per month on-site (team rotation) and 1-2 weeks additional onboarding time.

Qualifications

  • 1+ years of full-cycle electronic document control.
  • Experience with project close-out is a plus.
  • Experience with Engineering and Vendor document management, As-Built documentation, turnover processes, technical close-out, and project archiving.
  • Construction industry experience with understanding of engineering, project phases, facilities, and documents for operations is a plus.
  • Working knowledge of EDMS a plus.
  • Proficiency in Adobe Acrobat and MS Office (Outlook, Word, Excel, PowerPoint, Access) with templates and macros.
  • Excellent writing, interpersonal, organizational, and communication skills.
  • Ability to remain flexible and work in a fast-paced environment

  • Review and revise technical reports, specifications, drawings, and other documents
  • Identify and use tools, systems, and techniques to index, file, and control documentation
  • Work with multiple contractors, project team members, and project management with the control, distribution, maintenance, and retrieval of project documents
  • Work proactively to resolve issues and mitigate risks
  • Support, train, and guide other team members and the client on document control procedures

Job description

Access Sciences Corporation is a nationwide professional services firm seeking an experienced Document Controller with 1+ years of experience to join our team. In this role, you will work with a team of Document Controllers to implement and manage document control operations by maintaining and administering document control standards and facilitating the process of document turnover at the end of projects. You will work with multiple contractors, project team members, and project managers while controlling, distributing, maintaining, and retrieving project documents. You may need to work proactively to resolve issues and mitigate risks.

Daily, you will analyze, quality check, file, and retrieve electronic design and construction-related documents. Additionally, you will process documents for incoming and outgoing transmittals. You will need to review technical reports, specifications, drawings, and other documents. You will need to identify and use the correct tools, systems, and techniques to index, file, and control it.

You will engage with multiple stakeholders and will need to demonstrate professional, timely, and accurate communication skills.

Work hours are Monday - Friday, 7 am - 4 pm. This role requires 1 week per month to be on-site (based on team rotation). 1-2 weeks additional onsite time during initial onboarding/training.

The compensation for this role is between $50,000 - $65,000

Responsibilities:

Skills, Experience, and Knowledge:

  • 1+ years of full-cycle electronic document control. Experience with project close-out a plus
  • Demonstrated experience of document control and records management includingEngineering and Vendor document management, As-Built documentation, turnover processes, technical close-out, and project archiving. Experience with Greenfield and Brownfield projects a plus
  • Construction industry experience with an understanding of engineering, project phases, facilities, and documents for operations a plus
  • Working knowledge of Electronic Document Management Systems (EDMS) a plus.
  • Strong experience in Adobe Acrobat, MS Office: Outlook, Word, Excel, PowerPoint, and Access with a professional understanding of templates, macros, and formatting styles
  • Effective collaborationskills; this is a team-based environment with interaction among team members and the client
  • Excellent writing skills, i.e., technical documentation, specifications, training materials, presentations
  • Excellent interpersonal, organizational, and communication skills, capable of managing multiple tasks of differing priorities with precision and accuracy
  • Ability to remain flexible when dealing with changing client requirements
  • Ability to work in a fast-paced environment while maintaining a high level of quality
