Job summary

AECOM in Sacramento, California, is seeking a Document Controller to support development, management and maintenance of program documents throughout the project lifecycle.

You will administer the Document Control System (DCS), ensure metadata accuracy, and coordinate with contractors and internal teams to enable timely submissions, reviews, and retrieval. Strong organizational skills and knowledge of ISO 9001:2015 and FHWA/FTA requirements are valued.

Qualifications

  • BA/BS degree in a relevant field and 4+ years of experience or equivalent
  • Experience managing document workflows, metadata, revisions and records retention
  • Knowledge of ISO 9001:2015 quality management and FHWA/FTA requirements

Responsibilities

  • Establish and maintain document control systems, workflows and procedures for submission, review, approval, distribution, retention and retrieval.
  • Configure the Document Control System (DCS) including folder structures, metadata requirements, naming conventions and user roles.
  • Log and review documents from contractors and internal teams ensuring metadata accuracy and completeness.
  • Maintain master project records, revisions and version control per conventions and requirements.
  • Coordinate with stakeholders to support timely submissions, reviews and retrieval.
  • Maintain and update the Document Control Management Guide, templates and reference materials.
  • Monitor status, turnaround times and dashboards for project leadership.
  • Carry out audits to identify missing records or revision gaps and support corrective actions.
  • Assist with archiving, retention, closeout, audits, handovers and public records requests.
