This position is responsible for administering and executing document control functions for both small and large projects. The role supports the Engineering team and ensures proper documentation processes are followed throughout the project lifecycle. It requires knowledge of document control systems and processes, especially within Owner and Capital Projects, and experience coordinating across disciplines and contract phases (e.g., FEED, EPC, EPCM).

Key Responsibilities:

  1. Manage official project documentation, including the receipt, processing, tracking, and archiving of engineering documents, requisitions, purchase orders, ITPs, and inspection reports.
  2. Expedite and oversee review cycles for company, contractor, and supplier documents; maintain complete and accurate revision history.
  3. Support the handover process by coordinating with vendors to compile, maintain during project execution, and deliver Job Data Books at project closeout.
  4. Maintain the document control systems for Operations Engineering project work and ensure accuracy, quality, and consistency.
  5. Provide document control training to the Engineering team and stakeholders, including workflows and system use.
  6. Assist Project Engineers/Managers with document-related tasks and analytical support; participate in project kick-off meetings, status meetings, and project closeout engagements.
  7. Manage documentation for existing facilities and ensure timely distribution of vendor-supplied project documents.
  8. Assist with internal document update management as part of Projects, MOCs, and departmental needs.
  9. Handle multiple, high-volume projects simultaneously with strong attention to detail.
  10. Support integration of document control strategies between the plant and vendors to optimize workflows and compliance.
  11. Support document control planning efforts for field and core team requirements, ensuring compliance with plant procedures and standards.
  12. Ensure document workflow processes within the plants' EDMS are followed accurately and consistently.
  13. Maintain collaboration with the Engineering team to identify opportunities for workflow improvements.
  14. Promote and observe safety in all work activities.

Qualifications:

  1. Strong understanding of engineering document control processes and systems in a project environment.
  2. Experience with engineering documents such as P&ID's, Data Sheets, Drawings (Piping Isometrics, Electrical One-Lines, Instrument Loops), and Reports (Engineering Studies, Inspection and Testing, etc.).
  3. Support experience with multi-discipline teams and large-scale project execution.
  4. Proficiency in EDMS platforms (e.g., OpenText, SharePoint, ProjectWise, SDx, or equivalent).
  5. Excellent organizational, analytical, and communication skills.
  6. Ability to prioritize and manage multiple tasks with professionalism.
