Job summary

Jaquith Consulting Group, Inc. is seeking a Junior Document Controller to support development, management, and maintenance of documents for the California High-Speed Rail Authority project in Sacramento, ensuring compliance and data integrity across the Document Control System (DCS).

The role emphasizes version control, metadata accuracy, and training staff to use the DCS effectively, with on-site collaboration across contractors and internal teams.

Qualifications

• Bachelor’s degree or equivalent professional experience.
• Minimum of two (2) years of document control experience, preferably on infrastructure/public-sector projects.
• Working knowledge of metadata, naming conventions, version control, revision tracking, and document classification.
• Proficiency with Microsoft Office and Adobe Acrobat; hands-on familiarity with SharePoint or a comparable document management platform.

Responsibilities

• Establish and maintain document control systems and workflows for submissions, approvals, and distribution.
• Assist with initial setup and configuration of the Document Control System (DCS), including folder structures, metadata, and workflows.
• Receive and log incoming documents into the DCS with accurate metadata.
• Maintain master copies, version control, and proper naming conventions for technical documents.
• Collaborate with contractors and internal teams to ensure timely submission and retrieval of documents.
• Ensure compliance with QA/QC and regulatory standards.
• Archive documents and support audits/handovers.
• Develop and maintain the Document Control Management Guide (DCMG).
• Provide training and support on document control processes and tools.
• Generate status reports and dashboards for leadership.
