Job summary

NFI is seeking a Distribution Customer Service Representative to handle inquiries, process orders, and manage shipments in a fast-paced environment in Winchester, VA. The role requires strong computer skills, excellent communication, and the ability to work irregular hours.

Responsibilities include coordinating with Traffic and Operations, maintaining records, and ensuring accurate invoicing and documentation for customer orders.

Qualifications

• HS diploma or equivalent required.
• Strong computer knowledge including MS Office.
• Good typing speed and accuracy.
• Familiarity with 10-key and shipping software systems (UPS/FedEx).
• Excellent communication and customer service skills.

Responsibilities

• Respond to inquiries and complaints concerning work orders, invoices, shipments, inventory, etc. in a courteous and effective manner.
• Process and input all customer orders.
• Produce stock reports to check product availability.
• Prepare all paperwork and information for customer work orders.
• Coordinate special and last-minute shipping requests with Traffic and Operations, expediting orders as needed.
• Provide follow-up with other departments to ensure service standards are met.
• Ensure proper invoicing by verifying invoices.
• Prepare shipping and tracing information for customers.
• Maintain damage records and back-order logs.
• Communicate customer feedback to management, including dissatisfaction signs.
• Act as liaison between warehouse, accounts, and customers regarding invoicing and credit changes.
• Oversee all paperwork with orders and maintain files.
• Maintain current procedure manual detailing processing requirements.
