Job summary

NFI is seeking a Distribution Customer Service Representative to handle customer inquiries, process orders, and manage related paperwork in a prompt, courteous manner. You will coordinate with Traffic and Operations for shipping, ensure accurate invoicing, and communicate feedback to management to uphold service standards.

Ideal candidates hold a high school diploma, strong MS Office skills, and experience with shipping software. Flexibility for irregular hours and holidays is required.

Qualifications

• HS diploma or equivalent required.
• Strong computer knowledge including MS Office applications.
• Basic typing skills.
• Familiarity with 10-key.
• Shipping software systems including UPS and Federal Express.
• Excellent oral and written communication skills.
• Excellent customer service skills.
• Must be able to work in varying facility conditions.
• Ability and availability to work irregular or extended hours including nights, weekends and potentially holidays as needed.

Responsibilities

• Respond to inquiries and complaints concerning work orders, invoices, shipments, inventory counts, etc. in a courteous and effective manner.
• Process and input all customer orders.
• Produce stock reports to check for product availability.
• Produce all related paperwork and information required for customer work orders.
• Coordinate special and last minute shipping requests with Traffic and Operations, expediting orders as needed.
• Provide follow up with other departments to ensure service standards are met.
• Assure proper invoicing of accounts by verifying invoices.
• Prepare shipping and tracing information to customers as required.
• Maintain damage records and back order logs.
• Communicate customer feedback to management including signs of dissatisfaction.
• Act as liaison between warehouse and customers regarding invoicing and credit changes.
• Oversee paperwork associated with orders and maintain files.
• Maintain current procedure manual detailing processing requirements for each account.
